Event Proposal Form for the 2026 Scientific ProgramIf you wish to make a proposal for a scientific event for COSPAR 2026, complete the Event Proposal Form for the 46th COSPAR Scientific Assembly (Florence, Italy, 1 - 9 August 2026). Your submission will be forwarded to the relevant Scientific Commission/Panel officers for consideration. The form will remain active through the Assembly for late submissions, but early submission will ensure proposals are considered at the Assembly Commission and Panel business meetings where the preliminary scientific program for the following Assembly is constructed.
MAIN RESPONSIBILITIES RELATED TO ORGANIZING A COSPAR SCIENTIFIC ASSEMBLY EVENT
1. Write Event Abstract (i.e., proposing the Event) and submit it, preferably, in time for consideration at the open Scientific Commission/Panel business meetings of the preceding Assembly (use the on-line proposal form available through the link above).
2. Estimate how many quarter-day sessions and how large a room will be needed (see on-line proposal form)
Proposals retained by Scientific Commissions/Panels will be considered at the Program Committee meeting in March of odd numbered years. If you are notified that your event has been retained in the program for the coming Assembly:
3. Respond to the COSPAR Secretariat’s request for possible Event sponsors
4. Invite a few key speakers, and encourage contributed abstracts from the community
5. Rank any financial support applications from presenters who submitted abstracts for your Event (guidelines and ranking form will be provided before deadlines)
6. Read the contributed and solicited abstracts, and decide the distribution and sequencing of the oral and the poster presentations (an on-line tool will be available when the time comes and guidelines will be provided well before deadlines)
7. Decide who will chair the sessions (often the Organizers serve as session chairs, but this is not required), and at the meeting, ensure the sessions are in fact chaired appropriately
8. Report back to the Commission about the Event success, attendance, and any issues and provide a short synopsis of scientific highlights for publication in Space Research Today
For information, usually the most time-consuming step is Item 6 above.
