Summary:

We are seeking a highly skilled and experienced Service Contract Supervisor to join our team. The ideal candidate will possess comprehensive knowledge and hands-on experience in service contract management, combined with a customer-centric approach, strategic thinking, meticulous attention to detail, strong interpersonal skills, and effective leadership capabilities to ensure the successful execution of service contracts and docs control contribute to the organization's overall success.

The role will also entail supervisory responsibilities, including, but not limited to, auditing direct reports' work to ensure strict adherence to bidding and contracting policies, ensuring analysts are minimizing risk to the Partnership, and bringing forward opportunities for process improvements and enhancements to implement.

Essential Duties And Responsibilities:

  • Manage and supervise a team of work offer analysts responsible for executing a high count of work offers (service contracts) and related invoices (document controls) and ensuring compliance with company policies and procedures.
  • Collaborate with cross-functional teams to finalize service agreements with internal and external stakeholders when necessary.
  • Conduct regular audits of analyst workloads to verify compliance with company policies to reduce audit findings and provide weekly reports of audit findings to upper management.
  • Implement corrective actions and process improvements as necessary to enhance efficiency and mitigate risks.
  • Cultivate relationships with internal and external stakeholders, serving as the primary point of contact for work offer/doc control related inquiries and concerns.
  • Proactively address customer needs and expectations to ensure satisfaction and loyalty.
  • Provide leadership and guidance to a team of analysts and foster a culture of accountability and continuous improvement.
  • Work with leads to facilitate training sessions and/or refreshers to enhance team members' understanding of work offers and docs control processes and procedures and ensure a consistent approach to the work is being done globally.
  • Enforce the bidding and contracting policies and procedures across the organization and promote a culture of transparency and integrity.
  • Manage multiple tasks simultaneously with changing priorities and deadlines.
  • Be able to engage efficiently with individuals at all levels, including legal and executive management and vendors, professionally and courteously, regardless of the situation.
  • Must be able to work with minimal supervision and be self-driven.
  • Use proper time management and be able to deal with a high volume of data.
  • Be a team player and work well with others.
  • Adapt well to change.

Requirements:

Education and/or Experience, Knowledge, Skills & Abilities:

To Perform This Job Successfully, An Individual Must Be Able To Perform Each Essential Job Duty Satisfactorily. The Requirements For This Position Are Listed Below:

  • - Bachelor’s degree in business administration, Supply Chain Management, or a related field or knowledge gained through work experience. Advanced degree or certification (e.g., CPCM, CFCM) is a plus.
  • - Minimum of 8 years of experience with emphasis on service agreements or contracts related to the construction and operation functions in the natural gas/crude oil industry preferred.
  • - Good working knowledge and experience in the creation and administration of service contracts, invoice processing, and SAP.
  • - Demonstrated proficiency in contract negotiation, drafting, and administration, with a keen eye for detail and accuracy.
  • - Strong analytical and problem-solving skills, with the ability to effectively assess and mitigate contractual risks.
  • - Excellent communication and interpersonal skills, with a customer service-oriented mindset and the ability to build rapport with internal and external stakeholders.
  • - Proven leadership capabilities, including experience supervising and mentoring team members to achieve collective goals.
  • - Familiar with applicable legal and contract terminology and conditions.
  • - Familiarity with construction and operations contractual terms and intent.
  • - General understanding and experience with contract management software, Veriforce, and applicable requirements, processes, and procedures.

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be required.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
