Job Description

Summary: The Child Mind Institute is the leading independent nonprofit in children’s mental health. We are in a moment when children's mental health and learning disorders are among our most pressing societal issues. Our development office is dynamic and growing team of 23 professionals. We are searching for a motivated, organized, and detail-oriented individual Development Coordinator to provide executive support to the Chief Development Officer (CDO) and operational support to the larger fundraising department.

Reporting to the Chief Development Officer and in regular collaboration with the Director of Development Operations, this is a non-exempt, full-time position located in our NYC headquarters and presently observing a hybrid work environment.

Responsibilities

  • Effectively and efficiently manage the calendar of the CDO, including the coordination of complex meetings with donors, the President, and the Executive Director. Requires interaction with both internal and external executives and assistants, as well as consultants, and will include logistics and catering at times.
  • Communicate on behalf of the CDO with external stakeholders, including board members, donors, and other partners.
  • Use judgement to ensure smooth day to day logistics and operations in the office of the CDO
  • Keep the CDO informed of upcoming commitments and responsibilities, as well as managing the preparation as needed. This includes but is not limited to: researching and analyzing information to assist with decision making, providing prepared materials for meetings and phone calls, updating Salesforce with meeting notes/agendas, and liaising with colleagues to ensure efficient workflow.
  • Make travel arrangements for the CDO as needed, including booking travel and preparing itineraries.
  • Support the Director of Development Operations in planning and implementing new department systems for efficient administrative functions.
  • Prepare and submit routine financial reports (BPFs, expense reimbursements, corporate card allocations) for the CDO.
  • In collaboration with the Associate, Development Operations and Associate, Individual Giving, participate in the gift acknowledgment process, enter gifts into the institutional database (Salesforce), and move contracts/invoices through the organization
  • Support the production of documents, reports, and presentations for donor meetings (virtual and in-person).
  • Manage the set-up of team, donor, and cross-department meetings – including catering and audio-visual needs.
  • Create knowledge management/training documentation to support the development team.
  • Serve as the initial voice of the development department by monitoring the Development Info e-mail inbox, efficiently triaging incoming requests and occasional external correspondence.
  • Additional duties and projects as needed.
  • Occasional evening and weekend work as needed.

Qualifications

  • High School Diploma/GED and 5+years of administration/executive support experience OR equivalent combination of education and experience is required
  • Executive support experience
  • Demonstrated ability and temperament to work with sensitive and confidential information
  • Exceptional written, oral and interpersonal communication skills with diverse groups of people, including Board members, senior executives, staff, donors, and other external partners
  • Experience with Salesforce CRM preferred
  • Good judgment and problem-solving skills
  • Ability to work collaboratively, think creatively, and take initiative to manage high priorities and multi-task in a fast-paced work environment
  • High degree of organizational skills
  • Energetic, flexible, collaborative, and proactive
  • Team player with ability to establish and maintain effective working relationships
  • Expert proficiency with Microsoft Office Suite and strong general computer skills
  • Prior experience with non-profit preferred
