Manager - Export Freight Administration

Job Purpose: Ensure all shipping line related transactions, including but not limited to, fulfilling shipping requirements, freight procurement, freight analysis, delivery status, B/L release, freight payment settlement, are addressed to support company's goals for export shipments by providing timely reports, records, and effective processes; and to provide guidance and support to internal and external customers' requirements.

Key Responsibilities:

Planning and Management

• Develop and implement strategies to optimize the transportation of goods by coordinating with Shipping Lines, Logistics, Customer Service, Supply Planning, and Commercial Team.

Risk Management

• Identify potential risks in international shipping, such as political instability, security and safety issues, customs issues, and transport delays that disrupts Export Operations.
• Develop contingency plans to mitigate risk and ensure continuity of supply chain to customers.

Carrier Management, Plan, Prepare, and Deploy monthly freight request to major shipping lines for export shipments.

• Obtain most competitive rates for EMEA (Europe, Middle East) export shipments and supervise one (1) freight coordinator who handles Intra-Asia and Oceania shipments.
• Obtain most competitive rates for most urgent freight quotation requests by commercial managers.
• Ensures freight procured is aligned with the service requirements prepared for export processed pineapple shipments.
• Ensure service requirements sent to major shipping lines are updated and in line to meet quality, food safety, and security standards.
• Aware and well-informed of the global market situations affecting freight cost and shipping issues.
• Meet and address government regulations affecting costs.

Customer Service for customers that ensures all shipping line related requirements are attended as support to Commercial & Sales team, Supply Planning, Logistics, and International Sales Documentation (ISDT)

• Attend weekly case-fill coordination meeting together with Export Sales, Supply Planning, and Logistics Team.
• Request and attend meetings with major shipping lines and freight forwarders for urgent matters regarding freight procurement, scheduled appointment, and other issues and concerns.
• Files and monitors all Export Sales Orders as reference for any changes regarding shipping line requirements.
• Coordinate with Logistics Team all directions and requirements provided by customers, International Maritime Organization, major shipping lines and freight forwarders.

Prepares and deploys weekly the 8-weeks Shipping Line Nomination for EMEA (Europe, Middle East, and North Africa) destinations as basis for booking by Logistics Team and shipping schedule alignment by Supply Planning.

• Nominates shipping line to use for for DMPI - nominated carriers for shipments and ensure most competitive freight is being utilized.

Ensure freight database for EMEA is regularly updated; and ensures freight for certain is reflected in Export Shipment database.

• Update freight changes such as Routing, Transit time, Destination Demurrage and Detention fee time, Feeder Vessel, Delivery Mode, Shipping Mode, Rate Offer Validity, Origin Changes, and Destination Charges.

Prepares and submits document transmittal and shipping line nomination report as basis for ISDT monthly QMS and GTL scorecard;

• Prepare and submits report using QMS Scorecard Objective Monitoring worksheet and GTL scorecard worksheet every 1st of the month.
• Ensure that philpack hits monthly quality objectives.

Administer settlement of origin charges for shipments under FCA/FOB for release of Bill of Landing;

• Coordinates with documentation in-charge all shipment in which origin charges are handled by DMPI.

Act as Quality Controller and assist Team of Export Documentation and Freight Administration section.

• Ensures all quality documents are updated and monitored in line with DMPI's quality measurement standards.

Performance Monitoring

• Track key performance indicators (KPI) related to shipping efficiency, cost, and service levels.

Training and Development

• Train staff on international shipping procedure and best practices.
• Stay updated on industry trends and regulatory changes, disseminate this information to the team for future planning and anticipation of disruptions.

Qualifications

• Graduate of Industrial Engineering or any business/management related course.
• Knowledge in International Commercial Teams (INCO Term).
• 2-3 yrs relevant experience on traffic services and international freight cost analysis.
• Background in Supply Chain and Logistics (Import/Export/Outbound)

This position will be based in Cagayan de Oro, Misamis Oriental.
