Role Overview

As a fully integrated agency, we seek a seasoned VP, Project Management with deep experience across multi-disciplinary creative production workflows for Entertainment, Gaming, Sports, Tech and more. Balancing project management and client service leadership to guide projects to profitability within scope and schedule.

The VP, Project Management will play a pivotal role in integrating project management best practices for various project types across design, motion-graphics, strategy, A/V, print, social, digital, and experiential. This role will oversee all project planning and set up processes to produce detailed scopes of work, efficient schedules and profit-minded budgeting to quickly kick-off projects with a solid foundation. They will identify challenges that are hindering the process and seek opportunities to improve communication and workflow. They will implement tools to automate redundant tasks and provide transparency for project status. They will jump in to help solve project challenges while empowering their team to find solutions on their own to have a high level view of knowing enough of each project’s general status.

The VP, Project Management is passionate about mentoring, supporting, and developing the project management and producing team for their professional growth. Responsibilities

  • Department Leadership
    • Appropriately assign project management leads and help guide building teams to efficiently and effectively execute project deliverables.
    • Maintain a clear understanding of all project statuses to appropriately support projects by addressing challenges or opportunities for improvement as needed.
    • Collaborate with cross-functional teams to optimize project workflows, identify bottlenecks, and streamline processes for improved efficiency and productivity.
    • Ensure project managers are successfully leading their projects for team members and clients alike.
    • Oversee resource allocation to projects, ensuring optimal utilization of talent and resources to maximize profitability while maintaining high-quality deliverables.
    • Provide project managers constructive feedback as needed to ensure that challenges are addressed and best practices are adhered.
  • Process Standardization and Optimization
    • Lead the company's project management process while seeking to improve/refine as needed to meet industry standards and incorporate new practices appropriately.
    • Work in partnership with team leads and resourcing to scale or shift teams as needed for appropriate utilization with a lean mindset.
    • Create and centralize process documentation for ease of use, reference and help maintain consistency.
    • Conduct regular performance analysis and project reviews, leveraging data and insights to identify trends, areas for improvement, and opportunities for innovation.
  • Project Health and Profitability Management
    • Work closely with finance and accounting teams to monitor project budgets, identify potential risks or opportunities, and take proactive measures to ensure projects remain on track financially.
    • Partner with account management teams to foster strong client relationships, ensuring clear communication, managing expectations, and resolving issues promptly to drive client satisfaction and retention.
    • Identify and mitigate project risks, proactively addressing potential challenges and ensuring contingency plans are in place to minimize disruptions and protect project profitability.

  • Promote a work culture of accountability, open-mindedness, and excellence to create the best project managers and producers in the industry.
  • Mentor and guide project management team members for internal growth opportunities and skill set improvement.
  • Identify opportunities to create a community-based environment among the project management team such as Project Reviews, New Technology Walkthroughs, and Industry Events.
Requirements (Skills & Experience)

  • 10+ years of experience as Senior/Executive Producer/Project Manager for motion graphics, VFX projects for Entertainment, Sports, Gaming and CPG clients within a creative agency environment.
  • Comprehensive understanding of branding and visual identity, 2D/3D, motion graphics, compositing, production, post-production, experiential, immersive, and visual effects workflow.
  • Clear understanding of budgeting and financial implications of creative production such as labor, software (i.e., Render Farms), and hard costs.
  • Well-versed in new technologies used for creative workflows such as AI/ML, real-time rendering/virtual productions, AR/VR/XR, etc.
  • Proven track record of successfully guiding project teams to profitability, optimizing workflows, and implementing standardized practices that drive efficiency and quality.
  • Strong leadership and mentorship skills, with the ability to inspire and empower teams to achieve their full potential.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with internal teams, clients, and stakeholders.
  • Thorough understanding of project management methodologies, tools, and best practices, with the ability to adapt and customize approaches to meet the unique needs of different projects and clients.
  • Strategic thinking and problem-solving abilities, with a focus on driving innovation, continuous improvement, and delivering exceptional results..
  • Ability to work effectively on long-term and quick turnaround projects simultaneously.
  • Skilled in collaboration, bridging communication gaps with internal teams, partners, and clients, and adept at generating innovative solutions while efficiently managing daily tasks.
  • Demonstrated proficiency in multitasking across various projects, combining integrity, self-motivation, and accountability with excellent time management skills.

Performance Expectations

  • By day 30, gain a thorough understanding of current project management practices and processes across the agency, and begin identifying areas for improvement.
  • By day 60, develop and begin implementing standardized project management practices, workflows, and processes, collaborating with key stakeholders across the agency.
  • By day 90, demonstrate measurable improvements in project profitability, efficiency, and client satisfaction as a result of optimized project management practices and leadership.
