Responsibilities
Service Request Management: Receive and log incoming service requests from customers. Prioritize service calls based on urgency and customer needs. Coordinate with customers to schedule appointments and confirm service details.
Customer Communication: Serve as the primary point of contact for customers regarding service inquiries and updates. Communicate service timelines and expected outcomes to customers. Address customer concerns or complaints promptly and professionally.
Administrative Support: Maintain accurate records of service calls, technician activities, and customer interactions. Generate service reports and invoices for completed jobs. Assist with inventory management and procurement of parts and supplies.
Quality Assurance: Ensure that all service jobs meet company standards and customer expectations. Conduct follow-up calls to gather customer feedback and assess satisfaction levels. Identify areas for process improvement and implement corrective actions as needed.
Qualifications: Minimum of 2 years administrative experience Proven experience in a similar role, preferably in the HVAC industry. Strong organizational and multitasking skills, with the ability to prioritize tasks effectively. Excellent verbal and written communication abilities. Proficiency in computer software systems, including scheduling and customer service tools. Knowledge of HVAC systems and terminology is a plus. Ability to work collaboratively in a team environment and independently with minimal supervision.
