Snell & Wilmer is seeking an experienced legal administrator for the Phoenix Senior Director of Administration position. This position will have direct oversight of all administrative staff and business operations for the Phoenix office. You will report to the firm’s Chief Administrative Officer.
This role will have support through an assigned administrative assistant and will also have operational support through the Facilities Manager to assist with office operational needs.
Position responsibilities include, but are not limited to the following:
- Ensure the smooth and efficient administration of all office functions, including the daily management of Phoenix staff (specifically excluding those in a firmwide role such as HR, Accounting, IT, Marketing, etc.)
- Participate as an active team member with other Directors of Administration which oversee our other offices
- Attend monthly coordination meeting led by the Chief Administrative Officer, along with other office administrators, and participate together towards achieving individual office and firmwide specific goals and initiatives
- Attend quarterly Directors’ meetings which take place in different offices across the firm
- Support the strategic planning and execution of firm initiatives
- Work with firm timekeepers, including Attorneys and Paraprofessionals, to ensure these individuals have the administrative support necessary
- Arrange administrative support, for new timekeepers
- Arrange office space, parking, telephone and computer access, administrative support, furniture, and all other needs for new attorneys and staff
- Ensure the smooth and efficient administration of all Phoenix administrative support to include Legal Administrative Assistants, Legal Support Clerks, File Clerks, Word Processing, Reception and Hospitality, including performance reviews, feedback, and compensation recommendations.
- Collaborate with the HR team in the recruiting and onboarding of all new staff in Phoenix; including determining training needs of Phoenix staff and how to align training and onboarding of Phoenix staff with best practices other Senior Directors of Administration experiences in their offices
- Collaborate with the Senior Director of HR and other members of the HR team to maximize the recruiting, training, and advancement experience for all Phoenix administrative staff
- In conjunction with the firm’s Chief Administrative Officer and the Chief Operating Officer, work on firm initiatives as new opportunities arise; we believe in continuous process improvement and work hard to streamline and maximize processes as appropriate
- Lead event planning for all staff events in the Phoenix office
- Manage office purchasing to ensure value and efficiency
Experience and Qualifications:
- Bachelor degree or equivalent experience required
- Minimum of 5 years’ experience leading administrative services in a law firm or other professional services environment
- Ability to build and maintain high-performing teams
- Strong leadership, and organizational skills
- Experience in HR and familiarity with labor law; HR certifications are a plus
- The ability to develop strong working relationships with attorneys and staff
