Job Summary: The Sales Operations Specialist will play a critical role in supporting clients sales team by managing client coordination calls, scheduling candidate interviews, and maintaining data quality. This position requires excellent writing skills, impeccable time management, and strong project management abilities to ensure smooth and efficient operations.

Key Responsibilities:

  • Client Coordination: Schedule client coordination calls, ensuring all relevant stakeholders are informed and prepared. Manage client relationships and serve as the liaison between client and recruitment team.
  • Interview Scheduling: Coordinate and schedule candidate interviews in collaboration with the hiring team and sales managers. Manage interview logistics, including calendar invites and any necessary follow-ups.
  • Data Management: Maintain accurate and up-to-date data in ATS system. Ensure data quality and integrity by regularly reviewing and updating records, identifying discrepancies, and implementing corrective actions.
  • Documentation: Prepare, review, and distribute client-facing documents, reports, and presentations. Ensure all written communication is clear, professional, and aligned with company standards.
  • Project Management: Assist in planning and executing sales projects and initiatives. Track project progress, manage timelines, and coordinate with cross-functional teams to ensure project milestones are met.
  • Administrative Support: Provide general administrative support to the sales team, including managing email correspondence, resume preparation, intake templates, facilitating job offers, overseeing the onboarding and offboarding process, etc


Qualifications:

  • Proven experience in a sales support or administrative role.
  • Minimum 3 years of experience in a Client-focused recruitment coordination role, preferably with experience using Magnit, Greenhouse, Jobvite, Bullhorn, and LinkedIn Recruiter.
  • Exceptional writing skills with a keen attention to detail.
  • Strong time management and organizational skills.
  • Proficiency in project management tools and techniques.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience posting jobs in ATS, submitting resumes to clients, uploading to job portals, and scheduling interviews
  • Excellent note-taking abilities and the skill to revise job descriptions as needed.
  • Ability to compile shortlists of qualified candidates for hiring managers.
  • Collaboration with managers to determine future hiring needs.
  • Onboarding support for new hires.
  • Strong decision-making capabilities.


This position is working REMOTE, requiring candidates to be available during standard business hours (8:30 AM - 5:30 PM PST), 5 days a week. Preference will be given to candidates residing on the West Coast.
