Professional Development Coordinator

After School Matters provides Chicago high school teens with high quality, after-school and summer opportunities to explore and develop their talents while gaining critical skills for work, college and beyond. Since 1991, more than 350,000 teens have participated in our hands-on, project-based after-school and summer programs in the arts, communications and leadership, sports and STEM (Science, Technology, Engineering and Math). Summary of Position:

This position will work under the supervision of the Director of Learning Communities to support the professional development team with a wide range of projects related to: professional development and event planning. The Professional Development Coordinator responsibilities include workshop facilitation, logistical preparation for events, support for social and emotional learning initiatives, and coordination of administrative tasks such as attendance tracking, invoice processing, and maintaining comprehensive documentation. The PD Coordinator also collaborates with stakeholders to develop teen-centered workshops, manage Zoom meetings, and update PD menus and calendars. With a focus on efficiency and excellence, the Professional Development Coordinator contributes to the success and impact of ASM’s Professional Development model.

Major Duties and Responsibilities:

  • Provide support with Cityspan attendance for Professional Development, and other programs as needed;
  • Provide support preparing financial summary documents needed for paying vendor invoices;
  • Coordinate project timelines, tasks, and resources to ensure efficient execution and successful completion of deliverables, while also monitoring progress, identifying potential risks, and implementing effective mitigation strategies to keep projects on track
  • Assist with preparing instructor communications regarding professional development;
  • Manage and promptly respond to emails received through Outlook, ensuring timely and professional communication with instructors, program staff, and other stakeholders
  • Conduct site visits alongside the Professional Development Specialist when needed;
  • Collaborate with Finance team to assure instructors, vendors, and other invoices are paid;
  • Pull requested supporting documentation;
  • Support logistical needs of the professional development team; including prepping template slides, google forms, and spreadsheets,
  • Assist with ordering and gathering materials for professional developments and events;
  • Facilitate/present materials where necessary;
  • Provide logistical day-of support for Professional Development and Events;
  • Provide logistical support with programs where needed;
  • Support with data entry for professional development;
  • Handle sensitive and confidential information; and
  • Other duties as assigned.

Qualifications:

  • College degree preferred or 2 years of professional experience
  • Prior participation in one or more After School Matters programs strongly preferred
