Job Description Summary

This position oversees and coordinates all project management efforts, provides leadership and oversight to all project managers, ensuring that all enterprise-scale projects are delivered efficiently, on time, and within budget. This role is critical in bridging project execution with strategic objectives, aligning project goals with organizational priorities. This position assists the Director of Project Management Office in providing staff training, process improvement, and execution of departmental strategy and goals.

Job Description

Essential Duties and Responsibilities

  • Provide direction and leadership to a team of project management staff to ensure organizational needs are met to help achieve the strategy and future direction of the organization.
  • Collaborate with Director of Project Management Office to ensure all projects align with organizational strategic initiatives.
  • Lead and help facilitate the Project Management Center of Excellence model.
  • Assist in project resource planning and budgeting.
  • Create and reinforce a team orientated culture that facilitates continuous improvement based on innovative thinking, shared experiences, and learning from successes and failures.
  • Conduct project lifecycle management and delivery.
  • Responsible for the end-to-end management of large, organization wide projects and is accountable for the project scope, schedule, budget, resources, change management, and overall quality of project delivery.
  • Leads project sponsor and stakeholders across all phases of the project lifecycle including initiation, planning, execution, risk mitigation, monitoring and control, and closure.
  • Identify and structure work streams for key initiatives, works with project team to organize solution roadmaps and reach critical milestones.
  • Effectively collaborates with team to mitigate risks and proactively supports planned and/or unplanned needs.
  • Manages ongoing deliverables and determines appropriate priority of day-to-day tasks.
  • Serves as primary resource to project team to remove obstacles, provide solutions, and coach team members to achieve project objectives.
  • Supports Director of Project Management Office with process and project management standards
  • Lead and partner, under direction from the Director of Project Management Officer in maturing the project management lifecycle.
  • Develop, implement, and maintain processes, documentation, and tools for project managers to follow.
  • Ensure standardization and consistency of all project documentation.
  • Ensure necessary documentation is retained and available for all aspects of the project.
  • Identify and implement PMO best practices.
  • Contribute to IT strategic planning.
  • Monitor PM budget in coordination with IT leaders, optimizing spending across tools and partnerships to yield best results.
  • Support annual planning process by recommending system or process solutions that support organizational goals.
  • Manages and develops assigned staff
  • Provide supervision of assigned staff and workload.
  • Provides direction for day-to-day project management activities.
  • Coordinates work schedules to ensure proper coverage.
  • Approves time off, reimbursable expenses, and changes to work schedule.
  • Coordinates work activities of assigned staff, organizes and prioritizes projects and workload; effectively delegates and monitors work.
  • Lead the performance evaluation of assigned staff.
  • Consult on recommendations of staffing such as hiring, performance improvement, promotion, demotion, etc.
  • Ensure adherence to quality standards, deadlines, and proper procedures, correcting errors, or problems.
  • Provide coaching and feedback to assigned staff; provides regular progress reports to Director of Project Management Office.
  • Promotes and reinforces a culture of collaboration and trust.
  • Acts as a mentor/lead/role model.
  • Serve as a mentor to other project managers, supporting growth and development.
  • Serve as an ambassador for project managers lifecycle best practices, educating other project managers, serving as a role model, and encouraging practices to follow.
  • Provide guidance on complex issues, unique situations, and development challenges.
  • Other duties as assigned.

Additional Job Description

Required Qualifications

  • Bachelor’s degree in information technology or related field, AND A minimum of seven (7) years of experience managing technical projects in an e-commerce, web development, or other complex mission critical business system OR
  • A combination of related post-secondary and/or professional education and demonstrated relevant work experience managing technical projects in an e-commerce, web development, or other complex mission critical business system equivalent to a total of eleven (11) years.
  • Seven (7) years’ experience with some the following project management tools: Azure DevOps, JIRA, and Smartsheet.
  • Seven (7) years’ experience with various software development approaches including agile and waterfall.
  • Two (2) years demonstrated supervisory/leadership experience.
  • Strong business process/operational knowledge (e.g., customer service, inventory management, procurement, accounting)
  • Public speaking and presentation experience.
  • Budget design and management experience.
  • Experience in strategic planning.

Preferred Qualifications/Certifications

  • Master’s degree in information technology or related field and fifteen years’ experience managing technical projects in an e-commerce, web development, or other complex mission critical business system.
  • Twelve (12) years’ experience with some the following project management tools: Azure DevOps, JIRA, and Smartsheet.
  • Seven (7) years’ experience with various software development approaches including agile and waterfall.
  • Five (5) years demonstrated supervisory/leadership experience.
  • PMP or CAPM Certification.

Location:

  • This is a remote position, and is subject to Sourcewell's telecommuting policies and procedures.
  • On occasion, may be asked to travel to Staples, MN for meetings, professional development or team activities. Potentially twice per year. Notice will be given ahead of time.
