$65,000 - $70,000 a year

Job Purpose

Under the direction of the Board of Directors and Hampton Golf, Inc. the Community Manager is responsible for the daily business operations and management direction of the Community Association required in the governing documents, any applicable state law, and outlined in the management contract with Hampton Golf Inc. Includes oversight of staff and service contractors and daily interaction with community residents and volunteers. The position requires the ability to multi-task on a variety of levels with the utmost attention paid to focus and professionalism. The Community Manager serves as an integral part of the leadership of the community, acting as an advisor to the Board and volunteer committees regarding policies and procedures, and creating a variety of social opportunities to promote and maintain a true sense of community.

Duties And Responsibilities (Administration)

  • Acts as a first point of contact and responds or directs people accordingly to the appropriate resident.
  • Responds to resident billing and other inquiries.
  • Collects and audits vendor invoices, post all payables and process invoices for final payment in an appropriate and timely manner.
  • Purchases and maintains office supplies within budget as approved.
  • Assists with processing of estoppels letters, certificates of approval and architectural review applications.
  • Upon receipt of closing documents, establishes, and maintains files for each resident.
  • Maintain all association records as required by the governing documents, state law and Hampton Golf Inc. guidelines.
  • Ensure that all association correspondence and notices are accurate and timely.
  • Preparing meeting minutes and publication within community bylaws.
  • Prepares meeting agendas, draft recommendations and ensure that meeting notices and minutes are accurate and timely.
  • Attend meetings of the Board, committees (as needed) and membership, providing professional direction and assistance as needed and ensuring that the minutes, resolutions, and decisions are documented and implemented as appropriate.
  • Provide professional guidance to the Board regarding their policy-making duty as fiduciaries.
  • Facilitate orientation and training of Board and committee members.
  • Facilitate long range planning and annual goal setting.
  • Enforces Board approved rules for use of Clubhouse and other amenities.
  • Develop and administer the annual operating and reserve budgets. Will utilize accounting practices when preparing and making deposits and assists with payroll biweekly.
  • Gathers a working knowledge of the Community Documents, Rules & Regulations.
  • Monitor performance against adopted budget, conduct monthly reviews of financial statements and prepare a variance report for the Board.
  • Coordinate investments of funds in accordance with Board policies.
  • Serves as a liaison between the association and other entities, including the developer, builders, commercial parcels, golf courses or club facilities. This may extend to municipal departments and other community associations.
  • Performs other duties as assigned.

Duties And Responsibilities (Lifestyle)

  • Planning, coordination and implementation of resident programs, classes, instructors, and special community-wide events.
  • Maintains membership programs, forms, guest passes, register guests for events, classes, collect payments.
  • Assists in marketing and setting up and hosting events as needed.
  • Assists residents, clubs, chartered clubs, and community organizations in the scheduling of facilities, to include programs and room requirements, coordination with other departments, and arrangements for the collection of use fees and security deposits as applicable.
  • Provides New Resident Orientation newcomer presentations to ensure adequate promotion, room set-up, amenities, and community participation.
  • Develop and produce the community newsletter, community emails, community Facebook Page and other lifestyle publications assigned. Contributes a regular management column and items to clarify board actions and policies. Ensures that activities, events, and pertinent information are included in the newsletter.
  • Assists residents in the establishment of chartered clubs. Provides assistance in the application for charter process, assignment of facility space, development and promotion of programs, and file maintenance.
  • Develop an active volunteer program among residents, providing for both promotion and recognition.
  • Communicates and works with the Developer to manage community/lifestyle questions, training, promotion of lifestyle, and provides sales and marketing assistance.
  • Creates and manages the annual lifestyle budget.
  • Develops and maintains forms, documents and applications as needed.
  • Coordinates and works closely with the General Manager, Restaurant Manager, Executive Chef, Director of Golf, Fitness personnel, contractors, and corporate personnel.
  • Performs other duties as assigned.

Duties And Responsibilities (Facility)

  • Assists in managing the maintenance, repair, and restoration of any and all physical assets within the Homeowner Association portfolio of buildings, structures, gates, amenities and recreational assets including gym, motion room, pools, spa, steam room and sauna.
  • Maintains complete records of major repairs and replacements, updated warranty information and equipment inventory for tax and reserve study records
  • Assists in managing the operation of facility audio and video equipment, security systems, cameras and other apparatus used for these purposes.
  • Coordinates with contractors, vendors, or event entertainment representatives in the execution of amenity and lifestyle events as needed.
  • Will obtain Certificate of Insurance (COI) with all vendors, entertainment representatives, contractors before work is performed or services rendered.
  • Performs other duties as assigned.

Qualifications

  • Florida Community Association Manager (CAM) License Required.
  • Two or more years of direct Managerial Experience, preferably in an active adult Hospitality industry or environment with two or more direct reports.
  • Five or more years of Administrative support and/or office experience or any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
  • Two or more years of Lifestyle or Activities Experience, marketing and sales, computer operations or program development, Office or similar software, graphics, and event flyer development.
  • An associates or higher degree in either administration management, recreation management or facility management is preferred. An equivalent and documentable combination of experience and/or education from which comparable knowledge, skills and abilities were obtained may substitute for a preferred degree.
  • Successful completion of a skills test in any one of the three areas of management may be required.
