Law Firm Administrator

Role Description

FLEX represents a mid-sized New Orleans law firm looking to hire a Law Firm Administrator. This is a full-time on-site role located in New Orleans, LA.


As a Law Firm Administrator, you will be responsible for overseeing the day-to-day operations of the law firm, including

  • managing administrative staff;
  • advising on and implementing firm-wide HR policies and employee manuals;
  • maintaining firm administrative documents and staff personnel records;
  • preparing agendas for staff meetings;
  • coordinating and monitoring staff assignments and compiling reports of billable and non-billable paralegal hours and work status;
  • overseeing, approving, and documenting staff sick/vacation leave, time off, absences, late arrivals, etc;
  • coordinating staff recruiting, hiring, interviewing, and onboarding;
  • monitoring and documenting staff incident reports/issues, termination, and separation notices;
  • conducting year-end staff evaluations and reviews;
  • implementing employee benefits in coordination with the controller;
  • coordinating and managing building lease renewals, parking contracts, parking spot assignments, and any issues with the law firm office;
  • onboarding summer law clerks;
  • managing various vendor accounts related to the physical operation of the law firm and leases related to firm equipment and repair of the same;
  • maintaining employee contact information, emergency contacts, and firm emergency/disaster planning and communication regarding firm closure;
  • coordinating with the managing partner and the management committee on various issues including budget recommendations, compensation, and bonuses;
  • collaborate with IT regarding emergency preparedness, IT issues, and the law firm backup policies;
  • coordinating firm events including holiday luncheons, firm anniversary celebrations etc.


Qualifications

  • Proven experience in law firm administration or a related field
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Proficiency in legal software and tools
  • Knowledge of legal procedures and terminology
  • Ability to handle confidential information with discretion
  • Attention to detail and a high level of accuracy
  • Ability to work well under pressure and meet deadlines
  • Experience in a law firm environment a plus.
