JOB SUMMARY: The coordinator position is responsible for assisting the Sr. Estimating Manager and Land Team with a wide range of critical tasks for the Phoenix Division that involve subcontractors, vendors, and suppliers related to the Land development and planning function, from project inception through model opening.

Essential Duties And Responsibilities

Manage administrative and accounting related functions including preparation of contracts, processing of invoices, updating of budgets, accounts payable, performance bond process and reporting, land related fee and permit payments. Facilitate proposal process and issuance of work agreements.

  • Maintain land budget updates in HB1 (MS Office System) based on discussions with project managers. Budgets are reviewed once a month for accuracy and progress.
  • Manage the performance and warranty bond process. Work with project managers, civil engineers and the appropriate jurisdictions to determine bond requirements for obtaining new bonds. Track all outstanding bonds and work with jurisdictions and contractors to manage the timely exoneration of bonds. Assist with updating budgets accordingly if bond is still in process.
  • Perform all aspects of contracting tasks including contract set-up, contract drafting, updating contract/bid trackers, making sure that signed contracts are in place, sending out bid award letters, and change order management.
  • Set up new vendors and enroll vendors in KB's wrap insurance policy. Work closely with the NAPA/CPA/Risk Management to trouble-shoot all vendor setup issues, wrap insurance renewal issues, master agreement issues etc.
  • Review contract progress payments and retention billings in HB1 for accuracy and work with vendors for corrections and/or missing documents. Coordinate with Land Team to ensure all approvals are completed within the HB1 system. Code and process monthly HOA fees, utility billings, and field purchase orders for review and approval. Work closely with NAPA to track payment status and/or resolve non-payment issues for vendors.
  • Be able to read, review, and identify which contracts are left open and which need to be closed through reconciliation and research. If not closed, final billing notices must be submitted to ensure total close out.

Assist Project Mangers

  • Maintain an action item spreadsheet which is derived from the weekly project meetings.
  • Process check requests for development field personnel.
  • Assist with the development permitting through the various municipalities.

Education/Experience/Minimum Requirements

Education/Certifications/Licenses

  • High School Degree Required, College or Equivalent work experience, preferred.

Experience

  • Prior builder experience in a Land Development or Construction Department and/or 1 to 2 years of Office Organization, Contract Administration, or Administrative Assistant experience.

Knowledge, Skills & Abilities

  • Position requires excellent people skills coupled with the ability to effectively manage multiple projects to meet critical deadlines. Must be detail oriented with good organizational skills. Position requires the ability to create and manage a variety of spreadsheets in Excel and the use of multiple computer programs. Understanding of 20 Day Preliminary Notices and required documentation is preferred.

Work Requirements

  • Position may require periodic travel to project sites and/or municipalities. Periodic increases in workload may require additional hours be worked on a given day beyond that of a normal workday.
  • Position is located on-site (58 S River Dr , Suite 250, Tempe, AZ 85288)
