The HR Operations Manager will be working with the North America office which has staff working remotely across US and Canada. About the Opportunity
Reos Partners is seeking an HR Operations Manager to oversee all Human Resources functions and support operations for a small boutique consulting company with a social mission to support systems change. This person plays a pivotal role in cultivating a small but mighty, high-performing team that has the tools and support they need to deliver their best work. The HR Operations Manager will support the Chief Operations Officer in managing the HR and operations domains for a small but relatively complex company with an all-remote team spread throughout the US and Canada. This person will lead efforts to build and support a dedicated, joyful, and high-performing team. They will manage all HR functions, including hiring, onboarding, offboarding, performance management, supervision, talent management, benefits management, and efforts to advance diversity and equity. They will also support the company in having the proper operational controls, procedures, and systems to maintain and grow the organization. They will work to optimize a range of operational activities to ensure the smooth running of the company. On the client delivery end, this means reospartners.com improving systems and protocols around the resourcing and delivery of client projects. On the backend, this includes ensuring compliance with all necessary federal and state/provincial rules, clarifying and updating internal protocols, supporting proper knowledge management practices, and organizing in-person gatherings for the staff. This also includes some company administration tasks such as sending out contracts for signature, staying on top of insurance policies, and approving timesheets.
Key Responsibilities
Human Resources (60-70%)
Manage all aspects of the hiring and onboarding process for new employees, including full-cycle recruiting, orientation, and training.
Coordinate annual performance management processes, including goal-setting, feedback, assessments and evaluations, and year-end promotions
Ensure a strong supervision system by orienting and supporting supervisors and keeping them abreast of responsibilities
Monitor staff well-being and engagement and implement talent management best practices
Coordinate all benefits management, including healthcare enrollment
Manage all aspects of job changes (leave, reduction in hours, termination), including changes to benefits and payroll and managing the offboarding process
Update and communicate changes to policies and procedures in our HR Handbook and our company wiki as needed to ensure that policies are clear, practical, and adhered to
Champion diversity and equity with management, staff, and vendors and advance the company in meeting its DEI commitments
Lead culture-building efforts that contribute to a strong, supportive, relational, joyful, and excellence-oriented team culture
Support supervisors and staff to resolve interpersonal conflict
Listen to employee concerns and respond in a timely and appropriate way
Update and maintain highly accurate employee information in our HR information system, BambooHR
Approve timesheets and time off requests
Operations (30-40%)
Support the COO with key strategic and operational priorities by establishing and improving systems and protocols
Identify opportunities for greater operational efficiency, consistency, and effectiveness by making improvements to systems, policies, and procedures
Ensure compliance with all necessary federal and state/provincial authorities with regard to insurance, benefits, business registration and reporting, etc.
Manage business insurance renewals and reviews
Support knowledge management by organizing and updating information and files kept on Dropbox, Notion, and other platforms
Schedule and plan meeting logistics for Face-to-Face gatherings and other company-wide meetings and activities
Maintain and manage all software subscriptions and tech platforms used for various business functions used for project management, travel, HR, etc. These include: Google Workspace, Dropbox, Asana, Hubspot, Notion, BambooHR, and Harvest.
Support staff with tech troubleshooting, cybersecurity training and updates, and manage the resolution of IT issues with IT contractors and vendors
Manage purchases and retirement of laptops and phones for all staff
Handle and properly file all incoming company mail and email
Qualifications
Minimum 2-4 years of experience in HR and 1-3 years of experience in operations, project management, or administration for a small (Act as a diligent champion for HR compliance and processes while also possessing the ability to be an empathetic, people-centered ally for all staff
Experience building strong teams with a positive feedback and communication culture in a remote work setting
Managed an annual performance review process, including goal-setting, feedback, assessments, annual reviews, and year-end promotions
Exceptional organizational skills, multitasking abilities, a keen eye for details and a strong independent work ethic, capable of performing high-quality work without close supervision
Excellent verbal and written communication skills in English; able to consistently communicate in a professional and cheerful manner
Proven ability to adjust priorities and adapt to new responsibilities, work under pressure, and meet tight deadlines
Skilled at balancing the needs of employees, the team, and the company
Experience successfully managing, delivering internal projects and developing/implementing policies
Interpersonal skills and cultural awareness, with the ability to work effectively across differences in identities, backgrounds, personalities, and working styles
Adept and sensitive in managing relationships, politics, and concerns; able to communicate sensitive messages tactfully and diplomatically
Committed to and proficient in advancing DEI in the workplace
