Title: Facilities Coordinator Division: HOPICS

FLSA: Non-Exempt, Full-Time Supervisor: Operations Manager

Pay Scale: $ 25.00 - $27.00 Revised: 6.17.2024

Summary

Under the supervision of the Division Operations Manager, the Facilities Coordinator will work to maintain the facility Division sites. Ensuring that all the facilities are maintained to Cal/OSHA safety standard. The Facilities Coordinator must provide clean, sanitary, comfortable, orderly, and satisfying surroundings for the employees and all visitors.

Essential Functions

  • Adhere to SSG’s Code of Ethics and HOPICS Core Values.
  • Always maintain a safe environment, complying with Agency, industry, and Cal/OSHA standards and safety regulations.
  • Receive tasks daily from the Operations Manager and the Facilities Work Order Request online ticketing system and add completion status into the online ticketing system.
  • Provide solutions to issues or challenges with the facility as they occur.
  • Troubleshoot and conduct repairs for the following, but not limited to:
  • Electrical
  • Plumbing
  • HVAC systems
  • Carpentry (Drywall and flooring)
  • Painting
  • Leaks
  • Locks
  • Smoke detectors
  • Propane tank (filling or replacing)
  • Installation, Assembly, and Disassembly of the following but not limited to:
    • Office Doors
    • Doorknobs/handles)
    • Locks
    • Office Furniture (i.e. desks, chairs, whiteboards, fans, etc.)
    • Key Boxes
    • Refrigerators
    • Televisions (including the hardware needed to affix to wall)
    • Outdoor Furniture (i.e. benches, signage, etc
    • Items needed for all HOPICS Division site events (i.e. table, chairs, Public Address systems, podium, projector, etc.)
  • Maintain and landscape the exterior of the property to facility standards as outlined in Program contract guidelines. This includes, but is not limited to:
    • Sweeping debris in division site parking lots
    • Power washing the front of the buildings as needed, power washing the parking lots as needed, power washing the exterior windows at the division sites as needed
  • Maintain Division facilities in a sanitary and infection-free condition by
    • Thoroughly washing, cleaning, and replacement of equipment and furnishings
    • Collecting and disposing trash, waste, and other disposable materials
    • Reporting all needed repairs to your immediate Supervisor
  • Assist with delivering large supplies to the Division sites
  • Maintain adequate inventory list of materials and supplies
  • Conduct safety inspections of all equipment and division facilities twice monthly and report
  • Responsible for ensuring that each facility remains in compliance with all applicable codes: California Building Standards Code, California Division of Occupational Safety and Health Administration
  • Attend all Agency assigned trainings
  • Attend staff meetings, events, and seminars, etc
  • Maintain high level of ethical conduct regarding confidentiality of employees, participants, company, and vendor data and handle sensitive and critical information with professionalism and discretion
  • Establish and maintain positive working relationships with co-workers, participants, service providers, and vendors, maintaining appropriate boundaries
  • Represent the Agency in a professional manner at meetings and community events
  • Regular attendance is required
  • Perform job duties in a timely and efficient manner as requested/required
  • Perform other duties as assigned

Secondary Functions

  • Overtime, holiday, or weekend work may be required

Minimum Qualifications - Knowledge, Skills And Abilities Required

  • High School Diploma or GED equivalent or 1-year related experience
  • Knowledge of Cal/OSHA Safety Standards
  • Cal/OSHA 30-Hour Training Certification or ability to be certified within 90 days of hire
  • Valid California driver's license and proof of auto insurance
  • Reliable transportation
  • Verification of Employment Eligibility and Background Check

Non-Essential Qualifications - Knowledge, Skills And Abilities

Skilled in using computer programs including, but not limited to Google Suites, MS Office, etc.

Supervisory Responsibilities

This position does not have any supervisory responsibilities

Environmental Conditions (Working Conditions)

The Facility Assistant will work in an office setting, and outdoors. They may be exposed to aggressive, sometimes noisy, loud, and disruptive clients and must work in conjunction with other staff members. There will be times when the staff will be responsible for working in noisy environments where adults are free to talk loud and expressively.

Physical Requirements

This position demands good physical and mental health. The Facility Assistant will be required to lift, carry, walk, sit, push, pull, and stand. Driving required. Must be able to move continuously during work hours and be able to lift and/or carry 50 to 75 lbs.

Mental Requirements

The Facility Assistant must be able to handle any/all the following:

  • Interruptions, changes in priorities/work schedules
  • Be able to process information, think, and conceptualize
