Job Description

The Executive Office plays an integral role in setting and advancing Goldman Sachs’ corporate strategy, and in preserving the firm’s distinctive culture. We are responsible for safeguarding the firm’s relationship with alumni, clients, shareholders, policy makers, and the broader public, while ensuring that our own people remain informed about the firm’s evolving priorities. We also partner with the businesses to source high-impact opportunities in line with the firm’s social and sustainability agendas.

The Media Relations Team in the Executive Office is seeking a highly motivated administrative assistant. This role involves supporting and managing the schedules and communications of the Communications team. The role requires exceptional prioritization and communication skills, as well as the ability to adapt to a wide range of working styles and responsibilities. Previous experience in supporting senior executives and the ability to work in a busy, fast-paced environment is preferred.

Responsibilities

  • Provides administrative support in a team environment to several Managing Directors.
  • Coordinates complex, senior-level internal/ external meetings
  • Handles a high volume of phones calls, ensuring that media calls are always answered during normal office hours
  • Interacts with news reporters and high level business leaders in a professional and effective manner
  • Maintains complex and extremely detailed calendars, thinking proactively about scheduling needs and prioritizes meeting requests and related logistics.
  • Coordinates domestic and international travel arrangements and processes expense reports.
  • Manages monthly invoices and arranges for payment.
  • Supports team management by downloading monthly budget information and formatting into Excel spreadsheets
  • Support the media relations team in managing news outlet subscriptions, updating media contact databases and maintaining media monitoring subscriptions for all team members
  • Maintains understanding of firm expenses, client entertainment, news subscriptions and attendance policies.
  • On-boards new hires by working with manager to complete all technology, systems access, security and early scheduling needs
  • Book rooms and locations for meetings and events, ensuring all logistical planning details are addressed
  • Orders supplies and keeps inventory well-stocked.

  • Strong proficiency in MS Word and Outlook
  • Proficiency in Excel, PowerPoint, Concur and Zoom
  • Ability to maintain high standards despite pressing deadlines.
  • Ability to solve problems quickly and efficiently.
  • Ability to handle highly sensitive, confidential and non-routine information.
  • Self-starter with excellent anticipation skills; problem solving; follow up.
  • Demonstrates dependability and sense of urgency about getting results.
  • Strong organizational skills.
  • Comfortable working with people at all organizational levels.
  • Ability to display a consistent, professional degree of communication
  • Must be able to prioritize a variety of time-sensitive tasks.
  • Must have excellent judgment; independent thinker and resourceful.
  • Team player with a positive attitude.
  • Highest degree of integrity, professionalism, diplomacy and discretion required.
  • 3+ years of experience

Salary Range

The expected base salary for this New York, New York, United States-based position is $70000-$110000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
