The Events Coordinator assists with all production and operation functions for Nextiva events. This position is responsible for assisting in pre-event planning, marketing, operations, as well as day-of event coordination and fulfillment.

  • Partner with events and internal staff to plan events to enhance brand awareness and acquire new clients
  • Assist throughout the event planning process, including but not limited to, creating event staffing timelines, event set-up and breakdown, and management of event inventory
  • Coordinate event logistics including bookings and budgeting for all internal and external events.
  • Coordinate inventory, ordering, fulfillment and shipping of event giveaways, booth properties and print materials.
  • Support day-of event management and planning of event and vendor set-up, load-ins, and load-outs.
  • Create event registration and invitations.
  • Provide regular registration updates to team.
  • Ensure reliable and sufficient delivery and set up support for events and business needs.
  • Oversee product and material movements for upcoming events with 100% accuracy throughout all phases of each process.
  • Receive incoming purchase orders and confirm accuracy.
  • Organize pick-up and delivery of all products and materials needed.
  • Maintain perpetual inventory of material, equipment, supplies and other general stock items.
  • Perform clerical and administrative tasks such as reports, data entry, expense reporting, etc.
  • Identify opportunities for improvement and make constructive suggestions for change, with a goal of providing seamless quality service.

Qualifications

  • Bachelor’s degree in Events, Marketing, or related
  • 1-2 years planning events
  • Expert at simultaneously managing multiple detailed projects
  • Hyper-skilled at prioritizing and meeting deadlines amongst competing projects
  • Skilled in the use of Microsoft office software to include Word, Excel, PowerPoint, and Outlook
  • Previous experience using Eventbrite, Cvent, Splashthat, or similar event software is a plus
  • Previous experience using design software such as Canva, Photoshop or Illustrator is a plus
  • Strong interpersonal skills, detail oriented and able to coordinate/manage multiple tasks simultaneously
  • Some night/weekend work may be required.

Compensation, Rewards & Benefits

The salary or hourly wage offered by Nextiva to external candidates considers a wide range of factors, including but not limited to skills sets, experience, training, licensure and certifications, etc. Our compensation decisions are dependent on the facts and circumstances of each case. Our estimate of the expected hiring range for the position. A different level in the job hierarchy may apply to a specific candidate resulting in a different hiring range.
