SUMMARY


Director of Sales and Events for at least one venue and potentially more depending upon experience. Extensive experience in wedding sales and planning is a must. This position is primarily sales but will require some event management as well.

Description of Position


The Director of Sales and Events will have dual responsibilities in the two areas of sales and events. 

 

Sales accountabilities will include:

·     Managing the sales and events office, including reviewing and organizing the structure of the team as well as reviewing and setting rates.

·     Promptly responding to incoming inquiries, booking in-person sales meetings, and giving property tours to help potential clients visualize their event. 

·     Monitoring availability and maximizing the utilization and revenues.

·     Maximizing exposure to the property – through public relations, networking, and social media in a coordinated effort with colleagues. 

·     Providing tours in the evenings and on weekends to meet the demand of potential customers. 

·     Soliciting corporate business through networking and active follow up.

·     Demonstrating proficiency in software programs and social media including, but not limited to, Caterease, Active Campaign, All Seated, Instagram, Facebook, and others. 

·     Attending all regular sales meetings with the leadership team.

·     Maintaining documentation properly, including a lead log, collecting relevant sales data and distributing, maintaining financial records, and collecting and recording payments as per payment schedules.

·     Collaborating with colleagues to document necessary details, special requests, and logistics to ensure flawless execution of service during the event. 

·     Training, developing, and mentoring new staff.

·     Performing ad hoc tasks as requested by the General Manager.

 

Event Planning accountabilities will include:

·     Processing new event bookings, including creating physical/digital folders and detailing new accounts in Caterease; updating files, compiling, and distributing detail calendars to department heads.

·     Communicating in a timely and professional way with clients throughout the planning process, noting all decisions with diligence and organization.

·     Ensuring timely payment and processing of client deposits and final payments by generating receipts, making bank deposits, and updating daily and weekly reports.

·     Processing all event cancellations for upcoming events including obtaining Certificates of Insurance and obtaining permissions as needed to use content in marketing collateral.

·     Coordinating, managing, and executing final meetings, food tastings, wedding rehearsals, and décor drop-off/pickups specific to client needs. 

·     Creating, distributing, and presenting of fully detailed Banquet Event Orders.

·     Preparing event specific floor plans, timelines, meal count confirmations, event place cards, and other event specific requirements for assigned clients.

·     On the day of the event, leading with confidence, a warm demeanor, and professionalism to ensure the flawless execution of the event.

·     Working with the team to prepare and distribute event recaps and closing packets to the management team.

·     Organizing, collecting and monitoring of event reviews and testimonials on social media outlets like Instagram, Facebook, Google, etc. in addition to websites including The Knot and Wedding Wire.

·     Performing ad hoc tasks as requested by the General Manager. 


Professional/Personal Qualifications


The successful candidate must have 3-5 years experience working in wedding event sales and planning. They will be willing and able to work weekends and have a flexible schedule. This person will be proactive and have excellent organization and time management skills, strong leadership characteristics, and the ability to manage effectively. They should have excellent communication skills and be fluent in the English language, both written and oral.


A successful candidate will have high energy, infinite patience, and a service mindset. They will always maintain a professional appearance and manner – with staff, clients, and event guests. The ideal candidate will be able to work both independently and in a team environment. This person should have a college diploma or equivalent. Ideally they should have or be able to attain various certifications including Serv Safe, TIPS, Allergen Certification and CPR/First Aid.


Compensation


Base salary and incentives will be commensurate with experience.
