About The Position
The Development Department is dedicated to relationship-building and growing contributed revenue in support of Seattle Rep’s mission, annual operation, and long-term strategic priorities. The Development Operations Manager will help support the success of our fundraising campaigns and appeals through all phases, from cultivation, solicitation, processing of contributions, and donor stewardship. This position requires a thoughtful and organized team player with computer proficiency, keen attention to detail, ability to juggle multiple deadlines, and clear communication skills
Typical Duties Include
40% Execute In-House Mailings and Donor Acknowledgments
Prepare all large- and small-scale in-house mailings for the Development department, including solicitation and stewardship pieces, by extracting merge lists from the Tessitura database, merging and editing documents for gift officer proofing, and printing/stuffing/mailing.
Generate and distribute all mass and tailored acknowledgment mailings/outbound emails, ensuring donors are thanked within 2 business days of their contribution
Customize acknowledgment letters for individual and institutional donors based on unique appeal/campaign
40% Gift Processing and Coding
Collect and process contributions that arrive to Seattle Rep via mail
Assist members of the Development team with coding incoming revenue, to ensure consistent entry for accuracy and analysis
Serve as the primary contact for all corporate matching gifts, including managing the matching gift portals and gift confirmations
Provide thoughtful customer service for donors as needed to resolve giving and processing questions (this position will interact with the theater’s donors via phone, email, or other communications channel)
Responsible for the accurate accounting and record-keeping for all gifts and event registration fees, including donor designations and restrictions
Prepare daily, monthly and yearly reports to assist Finance Department with reconciliation of all gifts and pledges received, with troubleshooting to address discrepancies as needed
Support annual audit process and tax return preparation, including preparing reports and files as requested
Manage coding of invoices, receipts, and monthly credit card statements to support Development Dept
10% Donor Data Management
Assist with donor research and data entry as needed, including research for the bi-annual portfolio sweep, Gala, and donor cultivation events
Document all outbound donor communications pieces in the Tessitura donor database
Create and maintain documentation for current and future business processes relating to transaction processing, financial reconciliation, and general database operations
10% Provide Admin/Event Support
Take and distribute notes at all full team meetings and at other Devo meetings as needed
Order and track usage of Development supplies, including stationery and event materials
Merge, print, and collate event materials
Provide back-up coverage as needed for critical daily/weekly tasks (including but not limited to meeting coordination and donor lounge support)
Support colleagues in executing annual Gala, ongoing donor events, tabling opportunities, receptions, and meetings as needed
Other: Serve as an essential contributor to Seattle Rep’s culture and success
Add constructively to the collaborative and collegial health of the organization
Add actively and constructively to the equity, diversity and inclusion work of the organization, including attending all-staff training sessions
Engage with and strive to embody Seattle Rep’s mission, vision, and values in all aspects of work
Help create a culture of philanthropy among staff, Board members, and donors
Minimum Qualifications
Commitment to cultivating an equitable, diverse, and inclusive workplace via decisive action including consistently seeking out opportunities for self and community improvement in the areas of racial equity, accessibility, gender inclusivity, and cultural sensitivity.
One year of administrative experience
Ability to organize work, set appropriate priorities while working on multiple projects, and meet deadlines
One year or more of experience with Tessitura or other comparable CRM systems/databases
Strong attention to detail
Effective oral and written communication skills
Good interpersonal skills and comfort interacting with donors, trustees, and other stakeholders
Ability to manage confidential information with discretion
Ability to work both independently and collaboratively with a team in a fast-paced yet collegial environment
Proficiency in Microsoft Office (Word, Outlook, Excel, Teams) and CRM databases, with the ability to learn new software and systems quickly
An ability to work some flexible hours as necessary (typically for donor events, and with advance notice)
Availability during critical business periods of the theater’s year, including final weeks of December, final weeks of June, before and after annual gala, and season launches
Experience performing similar bodies of work in a not-for-profit organization
Desired Qualifications
3+ year of administrative experience in a not-for-profit institution, preferably a theater or arts organization
Familiarity with basic accounting concepts and terminology
Interest in developing greater fluency with database management, financial operations, and data analysis/visualization.
An appreciation for professional live theater
Bachelor’s degree or equivalent
