In October 2021, we launched our new ‘Food Club & Opportunity Hub’ to expand efficient, impactful healthy food assistance with the on-site integration of other pathway programs. More recently, we announced a partnership with Dwelling Place to help address the affordable housing crisis here in Holland. In July 2023, we publicly launched our expansion of Lakeshore Food Rescue (www.lakeshorefoodrescue.org).

Position Details

Position Type: Full-time, Regular

Overtime Status: Exempt

Reports To: Annual Fund Manager

Direct Reports: None

Department: Development

Primary Location: Food Club & Opportunity Hub

Compensation & Benefits: $43,000 - $48,000, eligible for full-time benefits

Summary
As a key member of the Development team, the Development Coordinator supports the philanthropic fundraising efforts of our organization. The Coordinator leverages data resources and maximizes donor relationships to advance Community Action House’s mission and community-facing work. This role is accountable for the quality and integrity of the donor database and leads gift entry, gift acknowledgements and supports donor communications at a high level.

Responsibilities & Essential Duties:

Database Management


  • Actively improves the quality and hygiene for Community Action House’s donor database to sustainably mature the Development teams revenue strategies and revenue goals
  • Analyzes data to help fine-tune donor cultivation, solicitation and stewardship efforts
  • Supports teammates in timely preparation of donor correspondence, including gift acknowledgements, electronic and printed solicitations, and donor communications
  • Coordinates goals with Development and Communications team members to maximize database functionality
  • Creates donation pages and campaigns in the donor database, collaborates with Communications to ensure pages remain on brand for external users
  • Leads on data and gift entry, including in-kind, third party, ACH, cash and credit card payments
  • Manages the implementation of our donor database, and supports cross team access to donor database, including training staff members on use of database
  • Creates database segments, reports, and campaign lists to support ongoing fundraising efforts




Administrative Support


  • Supports the Vice President of Development and Development Team through account and activities creation and management in the donor database
  • Maintains calendars for the Development Team and the team’s leadership through timely scheduling
  • Acts as primary support to Development team functions through a combination of ongoing and special projects
  • Creates and distributes financial reports via the donor database to support metrics tracking efforts of the Vice President of Development and Annual Fund Manager.
  • Assists Development team with the creation and distribution of sponsorship requests, mailed invitations, and event and appeal communications as needed
  • Monitors external donor email inbox, requiring discernment in distributing and solving giving requests
  • Assists with failed fundraising payments and works to correct any errors or issues
  • Partners with the Business & Finance team to reconcile donor donations and pledges monthly




Supervision Received


  • Specific Direction: Receives detailed work instructions or guidance for performing repetitive tasks. Supervisor monitors progress and provides feedback or correction as needed to ensure that tasks are completed according to expectations




Supervisory Responsibilities

  • None: Does not have formal people leading (supervisory) responsibilities




Education & Experience

  • 1+ years of relevant experience required
  • Some college required. Bachelor's Degree preferred.; or in place of a degree, equivalent years of experience




Qualifications

  • Previous database, administrative, accounting, or related experience preferred
  • Highly conscientious with a high attention to detail
  • Proven ability to work independently and manage multiple projects on time
  • Ability to work effectively in collaboration with team members, external donors and partner organizations
