Customer Service Specialist

The Customer Service Specialist will be responsible for a variety of duties including customer account management, order processing, and post-order support. This role involves working with internal departments to ensure efficient resolution of customer issues and compliance with company policies. The position also includes administrative support for sales activities, documentation creation and maintenance, and coordination of logistics for accessory item inquiries. The ideal candidate will be adept at multi-tasking and have strong communication skills to effectively handle customer and internal team interactions.

  • Associate Degree in Business field and/or Equivalent Experience
  • Three years of sales or customer service experience is required
  • Excellent computer skills, including proficiency in Word processing, Excel and Outlook
  • Excellent verbal and written communication skills along with attention to detail
  • Ability to handle and maintain confidential information
  • Capable of multitasking and possess strong time management skills
  • Preferred experience with ERP systems
  • Ability to maintain professional communication in challenging situations
  • Provide post- order support, including expediting, freight issues and resolving assembly/documentation queries
  • Review customer purchase orders for compliance with terms and conditions
  • Enter new orders accurately and promptly in the QAD system
  • Coordinate with internal departments for efficient resolution of all customer claims
  • Act as the primary point of contact for day-to-day activities such as contract review, order processing and customer/representative communication
  • Create and update customer accounts in the SAFT data entry system
  • Ensure accurate and timely processing of quotes
  • Ensure compliance with internal procedures for cancellations and returns
  • Generate accurate and timely shipping, customer backlog and credit status report
  • Actively support the sales team with administrative tasks, bookings and sales reports
  • Create and maintain documentation for division or brand assignment
