Overview


Emerald is seeking a Conference Manager to join our team. The Conference Manager is responsible for the planning and execution of multiple annual b2b conferences as well as special events in assigned markets/brands.



The Conference Manager is a collaborative organizer who frequently leads interactions with both internal and external partners to ensure successful setup and execution of all onsite conference and event logistics. This role owns the development of the overall conference timeline, including developing budgets, managing speakers, coordinating onsite logistics including AV, and supporting development of conference marketing collateral and onsite signage. Onsite, the Conference Manager is responsible for managing all operational aspects as well as maintaining relationships with onsite partners and Emerald personnel.



This position can be performed from any of our US-based offices or remotely from anywhere within the US.



Responsibilities


  • Develop conference timeline/action calendars and onsite requirements for all assigned events
  • Develop and modify a comprehensive budget based on show and program needs
  • Review and code all invoices to ensure accuracy before submission
  • Compile and distribute all conference session information to internal and external partners
  • Coordinate delivery of programs/awards/supplies to venue and distribution/set-up at event
  • Collect speaker bios and photos for use in marketing materials
  • Make travel arrangements for speakers when needed and manage all staff, speaker, supplier and VIP hotel arrangements with housing contractor
  • Order food and beverage for event attendees and speakers
  • Oversee sponsorship fulfillment for any conference/event related items
  • Track conference session registration information beginning 60 days prior to the show, and provide regular updates to all involved
  • Create and send call for presentation database to all potential speakers, previous speakers, and former exhibitors asking for session submissions
  • Create, send, and track status of speaker agreements
  • Determine and fulfill speakers’ AV requirements
  • Assist with various projects as assigned by Senior Conference Manager or VP, Operations



Qualifications


  • Conference / event management experience, with an understanding of meeting and event planning principles, requirements, and procedures
  • Ability to prioritize/multitask while managing multiple event timelines
  • Proven experience in leading support staff and leading/managing external partners
  • Knowledge of Microsoft Word, Excel, and PowerPoint for tasks such as budget tracking, mail merges, and creating presentations
  • Ability to travel up to 30% of the time

COMPENSATION & BENEFITS

Target Compensation: 65,000-70,000

Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate’s qualifications and may be higher where required by applicable law.
