About the position
Castilleja School offers an inclusive and diverse Athletics program to prepare our student-athletes for lifelong engagement in sports. Castilleja is seeking an Assistant Athletic Director beginning the 2024-2025 school year. The Assistant Athletic Director will report to the Director of Athletics and work closely with the other Athletic Department members. The Assistant Athletic Director is responsible for the administrative roles necessary to run sports during the fall, winter, and spring seasons. In addition, this person is expected to coach at least one sports season for Castilleja. The Assistant Athletic Director is responsible for upholding the values and mission of the Castilleja Athletic Department, providing every student-athlete the opportunity for both a distinctive education and a championship experience. This person needs to be responsible, organized, and self-sufficient, and should be able to handle working in a fast-paced environment.

Operations and Games and Transportation:

  • Assist the Athletic Department with game day operations for competitions.
  • Be able to run the clock/books and timing systems for athletic events.
  • Be available to attend and run postseason events, including some weekend work.
  • Assist in posting alerts and/or messages to students, parents, and families in regards to athletic cancellations, changes, etc
  • Manage both the bus (external) and van (internal) schedules for Castilleja Athletics events that take place off campus
  • Arrange for vans and bus companies for buses to ensure smooth operations for the Athletics programs
Officials/Referees/Umpires:
  • Work with a variety of schedulers to schedule officials for home contests
  • Confirm officials and payment of officials 
  • Website updates:
    • Keep the website up-to-date with team rosters, schedules, coaches, etc.
    • Oversee and update Athletics pages, including Alumni Athletes, Gators in the News, and Coaching Staff pages
    • Enter all sports schedules for each of the three seasons and make changes as needed
    • Use Google calendars to share sports schedules with broader community
    Uniform management: 
    • Oversee the uniform budget; inventory; and distribution.
    Coaching Responsibilities
    • Coach at the US Level: either in a Head Varsity, Assistant Varsity, or Head JV position and/or at the MS Level
    Communication efforts:
    • Oversee the social media platforms for Castilleja Athletics including Instagram, Facebook, and Twitter
    • Write stories for Gators in the News highlighting big moments during the school year and post on school website and social media
    Special Events:
    • Help with the planning and execution of senior game events
    • Play a key role in the execution of Celebration of Sports, a large-scale awards banquet held each spring; help communicate with necessary groups on campus 
    Key Qualifications: 
    • Bachelor degree from an accredited university, preferably in Sports Management, Kinesiology, or similar field
    • One year working within a fast-past Athletic Department
    • Skills Required:
    • Excellent organization and communication skills
    • Excellent attention to detail and ability to manage multiple complex tasks
    • Experience with collaboration tools such as Google docs, sheets, slides, and forms
    • Superior interpersonal skills as a teammate, colleague, coach, and advisor
    • An understanding of and appreciation for the goals, objectives, and mission of an independent college preparatory school, specifically in an all-girls environment
    • Ability to work in a fast past environment with deadlines
    • Ability to carry 50 pounds; ability to kneel, stoop, stand for extended periods of time without assistance.
    • Ability to pass state and federal background check, fingerprinting, and provide a recent negative TB test or screening.
