Admissions Coordinator and Events Assistant

Caldwell University invites applications for a full-time Admissions Coordinator and Events Assistant. Reporting to the Director of Undergraduate Admissions, the A dmissions Coordinator and Events Assistant is responsible for admissions operational support, visit program and event support, oversight of the admissions/enrollment management budget, and reception area duties.

Job Duties Include, But Are Not Limited To

  • Operational support for admissions application processing. Tasks include, but are not limited to: assigning ID numbers for accepted students, application de-duping; responding to student queries; Direct Admission documents processing; assist with troubleshooting the application import process for Common App, and other operational tasks as assigned.
  • Transcript processing and support. Tasks include, but are not limited to: uploading transcripts from Parchment, Scoir, and other electronic sources to student records; pulling transcripts for Placement exams and other internal processes; review incomplete application report and locate/append transcripts to complete files.
  • Events and visit program support. Tasks include but are not limited to deduping multiple registrations; ensuring visit calendar is up to date and accurate; assisting students/families with scheduling and changing appointments.
  • Front desk reception area duties which includes handling telephone calls and emails, greeting office visitors, ordering supplies, processing incoming and outgoing mail
  • Responsible for managing the Undergraduate Admissions Budget. Tasks include processing check requests, oversight of admissions staff expense reports, investigating charges, and interacting with the Finance Department

Knowledge equivalent to a high school education with additional training in computer applications plus 30 to 36 months of effective experience. Proficiency in Google Suite and MS Office especially Word, and Excel and Database experience (preferably Jenzabar). Must be available to work occasional evening and weekend hours.
