Job Description
Job Title: Accounting Clerk
Department: Accounts Payable
Reports To: Controller
FLSA Status: Non-Exempt
SUMMARY: First point of contact for telephone queries raised by internal and external customers, problem solving for those inquiries or ensuring they are redirected as appropriate. Process accounts payable information in a timely, high-quality manner with limited errors in accordance with company policies and procedures and help with Accounts Receivable work as assigned. To maintain a polite, efficient, and effective manner always.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
Accounts Receivable
Check the F&B daily receiving report.
Vendor Statement Reconciliation:
Reconcile every vendor statement, call vendors to obtain missing invoices.
Check the inbox in Beans for invoices and move the attached invoice to the scan folder.

Education And/Or Experience
High school diploma or equivalent. Must have a minimum of three years of experience in the field of accounting in the hospitality or club environment.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
Accounts Receivable
- Scanning of BQ Events to folder
- Chit sorting and checking for errors signature, member number, duplicates etc.
- Stuffing member statements at month end
- Shredding of chits and checks
- Maintain statistical date i.e., Covers, Food & Beverage, Fitness, Golf, Tennis
- Open all incoming mail (hard copy or email) and distribute invoices to managers.
- Scan invoices into Beanworks and check for accuracy.
- Call vendors for certificate of insurance.
- Review vendor statements.
- Mail payments after check run.
- File new vendor forms.
- Process invoices and assist with the check run process. Correspond with vendors to solve billing discrepancies.
- Match invoices to check after the check run and file.
- Oversee the International Parking and Crystal Clover invoices to ensure the vendor’s billing and our time clock report match, and the person we pay are correct.
- Cooperate with HR to ensure the housing schedule is always updated.
- Report to the Senior Accountant that the amount of the electric bill needs to be deducted from the housing deposit for the trainees who left the club.
- Complete the petty cash reconciliation at the end of every month. Twice a month if needed. In this process ensure that Controller signs on the petty cash before giving the money to the managers, and the amount of money must be accurate. Keep the petty cash in the safe all the time.

Vendor Statement Reconciliation:
Reconcile every vendor statement, call vendors to obtain missing invoices.
- Set up a tracking system so that statements are filed in a systematic order as they arrive and are reconciled each month.
- Copies of past-due invoices should be sent to the appropriate department manager for review and approval.
Check the inbox in Beans for invoices and move the attached invoice to the scan folder.
- Input the vendor’s name, invoice number, brief description, and invoice amount and distribute invoices to managers in the tray for managers’ approval.
