Administrative Assistant/ Billing administrative assistant will work primarily with co-managing partner to capture and enter time on a daily basis. Responsible for partner’s billing and help with collections; work in collaboration with the Accounting department; work in collaboration with partner’s administrative assistant, when needed. Responsibilities/Duties: • Collect information daily from emails, calendar and in-person meetings for time entry. • Create and input time narratives on a daily basis in Aderant. • Review time entries on a daily/weekly basis with partner. • Maintain and file all communications regarding invoices and billing from partner’s inbox/outbox in document management system under appropriate client/matter number. • Review pre-billing reports for content accuracy; distribute relevant prebills to responsible partners; submit any notable write off requests; transfer incorrect time entries and disbursements. • Review final invoices before they are posted and have remittances run. • Prepare cover emails to clients which include statements of account, invoices. • Maintain and file all communications regarding invoices to and from clients in document management system under appropriate client/matter number. • Respond to internal and external inquiries regarding time, billing and invoices. • Send payment reminders to respective clients. • Create manual invoices per instruction. • Perform additional related responsibilities as assigned. Required Skills/Abilities: • Excellent verbal and written communication skills. • Strong interpersonal and collaboration skills. • Excellent organizational skills and attention to detail. • Proficient in Microsoft Office Suite or related software. Excel and PowerPoint optional. • Expert user of time entry software. • Must be punctual and reliable. • Ability to act with integrity, professionalism, and confidentiality. • Ensure confidentiality of all the Firm’s and client’s documentation and information. • Ability to work effectively and independently in a fast-paced environment. • Ability to type at least 65 WPM. • Ability to prioritize multiple tasks. • Ability to work overtime when necessary. • Minimum 4 years of relevant work experience in a legal administrative assistant position or legal billing position.
