What are Google Voice alternatives, and how do they work?

Google Voice owes much of its popularity among small businesses to its low price and quality VoIP features, which include unlimited calls to the U.S. and Canada, unlimited text messaging in the U.S. and seamless integration with other Google apps. However, many SMBs are better served by VoIP services that add such capabilities as toll-free and international numbers and video conferencing.

VoIP phone systems replace equipment that uses traditional landline phones with software that allows calls to be made over a broadband internet connection. The systems work with IP phones but are typically used as apps running on a PC or mobile phone. 

They convert voice signals to a compressed digital format for transmission over the internet as data packets, and then convert the packets back to voice at the receiving end. The technology relies on such standards as the Session Initiation Protocol (SIP), Real-time Transport Protocol (RTP) and H.323, which supports video conferencing.

The primary role of VoIP phone systems is obviously placing and receiving telephone calls, but phone systems have become so tightly integrated with all other business processes that choosing a communications platform involves capabilities beyond one-to-one telecommunications. 

These are the key functions to consider when comparing business VoIP products:

  • Unlimited domestic calls. All the VoIP products we evaluated allow unlimited inbound and outbound calls to the U.S., and some add calls to and from Canada, Puerto Rico and Mexico. 
  • SMS text messaging. VoIP phones can send and receive text messages to and from landlines, mobile phones and other VoIP phones. This function serves as an alternative way to communicate with customers who are unavailable over the phone.
  • Automated attendant. This feature is sometimes referred to as a “virtual receptionist” because it serves as the gateway for incoming calls. The software includes a custom recorded greeting and a system for routing calls based on the caller’s response to a menu of options.
  • Desktop app. One of the ways VoIP phone service saves businesses money is by replacing traditional phone handsets with software that runs on a PC (or mobile phone) and allows calls to be placed and answered using a computer.
  • International calls. VoIP phone systems can be used to make and receive international calls using the same steps as with landline phones. How much do Google Voice alternatives cost?

Most small businesses pay between $10 and $30 per employee per month for cloud-based VoIP phone service. The services typically work with employees’ desktops and mobile phones, but they are also sold along with VoIP hardware such as desk phones, headsets and analog telephone adapters. VoIP phones cost from $40 to several hundred dollars.

Microsoft Teams Phone is a Google Voice alternative that is available in three versions priced from $8 to $20 per user per month. Teams Phone requires an annual agreement and auto-renews, while Google Voice is sold by the month. Microsoft’s service can be purchased with or without a domestic calling plan. Only the high-end Essentials package comes with unlimited messaging. By contrast, all Google Voice plans include unlimited text messaging.

A free version of Google Voice is available for individuals and for businesses with meager telephone needs. Among its features are free calling between PCs around the world, conference calling, call recording, voice messaging and custom voicemail greetings. 

You can port a Google Voice number to another carrier using options in Google Voice settings. In the Account section, click “Unlock” under the number. Then ask your new carrier to port that number to their service. The fee for unlocking a Google Voice number is $3.

As part of Google Workspace, the paid versions of Google Voice are HIPAA-compliant. This allows the service to be used by healthcare providers that must comply with HIPAA requirements for patient confidentiality. However, the free version of Google Voice is not considered HIPAA-compliant.

Each Google account can have only one Google Voice number associated with it. The number can be used as a secondary contact or added to a Google Fiber Phone account. Google places no limit on the number of accounts you can have.
