PC stress busters

Word: to create a template document, create the master, then when you save, select Document Template from the Save As Type menu box in Save As Dialogue. Or re-use an old document but check Properties because it will show original information — embarrassing if it contains a different client name. Properties can be found in the file menu.

PowerPoint: to create an organisation chart use the built-in template. Either when you insert a new slide, pick the Organisation Chart Slide Layout, or from the Insert menu pick Diagram and then the Organisation Chart Option from the Diagram Gallery. The template is then ready for you to insert other groups of people such as co-worker or assistant. Just click on the box where you want to insert the new person and pick the type from the Organisation Chart Insert Shape menu.

Excel: with a large spreadsheet, it can be useful to hide a column or row. Highlight the one you want to hide, then go to the Format menu, pick row/column, then Hide. To re-show, highlight the rows/columns either side, go to the Format menu and pick Unhide.

Reader question: from Patricia Witts, who wants to save batches of e-mails to her hard drive. There are three main ways: use the Archive function, export the e-mails (for example in Outlook as .pst files) or simply copy and paste into folders. The advantage of this is that you can put them with other files to which they relate. However, the e-mail remains in your inbox until you delete it. Archiving removes the e-mails to help to keep your mailbox contents at a usable size.
