Brinks Home's Strategic IT Initiatives: Quarterly Highlights (Part 5 of 5) Digital Contract Enhancements

I’m wrapping up a series of articles on our achievements this past quarter, highlighting five efforts that have been absolutely critical to our success. I want to recognize the team members and partners who have supported us in these efforts, which saved more than $1 million in software expenses in addition to improving our technical prowess.

We talk a lot at Brinks Home about the partnership between business and IT. It’s another level of partnership when the business participates fully in efforts like these that are focused on essential IT improvements. These projects demonstrate that level of team support!

Project 5: Migration of Digital Contracts and Storage 

The fifth project I want to discuss was a big effort / big reward type of initiative. Our digital contracting innovation project! Our legacy digital contacting solution was in desperate need of upgrade. The legacy provider wasn't innovating and they were not a good partner. This project became an imperative as our costs were spiraling in this space. As we digitize the customer experience we’re doing significantly more digital agreements with our customers and each of these has a cost.

We have successfully moved our digital contracting to PandaDoc and could not be happier. Not only are the economics excellent, they have also been wonderful partners, and provide an innovative solution that makes our business better. This effort did require a refactor of our existing contracts, but PandaDoc has a rich set of functionalities for dynamic contracts that the business teams can manage going forward. Previous implementation of these changes required the involvement of our IT teams and each change multiplied by state and locality. With Pandadocs we can implement changes modularly. Shoutout to PandaDoc—we are impressed with your product and team Drew Groves , Sara Rodriguez , and more!  Internally, we have to thank Gary Funk for keeping this project in line. Molly Boyer for negotiating a great deal. David Finkelstein for the enterprise architecture and expertise on digital contracting. John Hodge Jason Richards Derek R. and Vijay Rachamadugu for making it all work!  This was a very challenging effort and you all make it look easy!

Moving away from our legacy digital contract provider required moving our digital contracts somewhere that can be audited and legally represented. For this, we turned to SmartVault Corporation , which focuses on document storage. SmartVault has great offering for the storage of digitally signed original documents that met all our legal requirements. Our digital contracts are a critical asset for the company. As such, we performed significant diligence in selecting SmartVault for this function. Big thanks to Joni Chapas for leading this effort and doing all the leg work on digital contract storage! Big shout out to Peggy Carlson and Amanda Lenhart for all the legal support. Thank you for supporting us every step of the way! Also, thanks to our partners at SmartVault Brook Sargent and Daniel Fritz, CSM .

This one-two punch of PandaDoc for contracting and SmartVault for document storage sets us up to support everything we want to do with digital contracts in the future. It enables our business partners to be self-sufficient with easy-to-manage dynamic contracts. The solution provides Brinks Home with a great landing pad for additional digital experience work. It aligns Brinks Home with a set of partners who are interested in supporting what we do and innovating in the market. It also all came together at a significant cost discount.  We couldn’t be more pleased with the outcome of these efforts!
