Your company just announced that they want to cut meetings by 50% effective immediately. What is the first thing you do? Yesterday, we held our 5th meetup for talented product management professionals from Ra'anana, to discuss a painful issue: too many meetings (=lack of time). Given our roles, we deal with the need to work with various interfaces within the organization (some of us in multiple time zones as well). Although we all agree that meetings help us advance things, often the same or even more precise result can be achieved through asynchronous work. Here are the key takeaways: 1️⃣ Not every situation calls for a meeting. Establish your own algorithm to prevent unnecessary meetings by using asynchronous work. Ask yourself: Can this be resolved through a Slack message, a concise video using Loom or Snagit, or a well-prepared document? Employing this algorithm can be beneficial not only for scheduling meetings but also for responding to meeting invitations. 2️⃣ When hosting a meeting, consider who plays a vital role in driving the discussion. Participants who are "nice to have" can catch up by reading a meeting summary, watching a recording, or reviewing an AI-generated summary. 3️⃣ Face-to-face interactions can significantly enhance motivation and cooperation from stakeholders. Educating them on the importance of whatever you're working on is crucial for your success . Consider implementing methods like dedicated office hours for specific roles or even establishing a champion program. Back to you. Imagine your CEO has just sent an email to the entire company, asking you to cut all meetings time by half. What's the next thing you'd do tomorrow morning?

In 6 minutes, he explained what would have been an hour-long meeting for 8 people. Looms, short bite-sized videos, are embedded in our workflows now. Sometimes they replace meetings, and other times they get people up to speed before a meeting. ⏲️ 𝗠𝗲𝗲𝘁𝗶𝗻𝗴 𝗕𝗮𝗻𝗸𝗿𝘂𝗽𝘁𝗰𝘆 ⏲ Over the break, I embarked on the thrilling adventure of purging and re-organizing my calendar. It's akin to decluttering your closet, but instead of old sweaters, you're dealing with meetings. We've all experienced those weeks crammed with back-to-back meetings, leaving us questioning their true value. It can indeed be quite frustrating. I categorized them into distinct types: team meetings, project discussions, operational sessions, focused work, or external calls. My aim for 2024 is to elevate the level of organization in my schedule. By doing so, I hope to track my time more effectively, ensuring each meeting is not merely a time slot in the calendar, but a meaningful engagement. While Google Calendar offers excellent insights, it's crucial to label and organize meetings to extract the most relevant data. Here's to a more structured and productive year ahead!
