Dr. Floyd had a HUGE spike in patient conversion rates AND attendance after working with me. HERE’S HOW I DID IT: 1) I made sure his team was getting people scheduled, who were prepared to ARRIVE! I know IT SOUNDS SIMPLE, but I'm not finding the majority of people doing this. This is the lifeblood of a clinic business. This is the lifeblood of a community getting better and having access to quality care. Not doing this is denying people in a community active care and losing money. This is SALES in its purest form. 2) When I train front desk people, they start talking about the plan of care before the patients ever arrive (leading to RETENTION). And the focus on the first phone call needs to be this. THE TRUE X FACTOR is On the first phone call, the endpoint is the evaluation where they will get the plan of care. 3) Once the patients converted to a first visit ARRIVAL, I trained his provider team on follow-up processes in place to make sure they STAYED on their POCs for longer. The MOST Important thing you can do on your First Day of a new office. In honor of Jeffrey Martinez, MD, first day of doing cases at Espada Vascular, I wanted to talk about how to create the right culture from day 1. Culture is everything. If you create a bad environment, your center will rot from the inside. Culture starts at the front desk and works its way back to the procedure room. Your team has to truly care about what they are doing and who they are taking care of. It doesn’t have to be over the top, just genuine. Patients will respond to authenticity, sincerity, and confidence. All of this is centered around well educated and focused individuals who are focused on outcomes. It doesn’t mean that people have to work long hours, but it does mean returning a call at the end of the day because a patient or the family member is waiting for an appointment or medication. The easiest way to remember to do this is ask yourself, how would I feel not getting a call back from a Dr.’s office. The most important thing to keep a new office growing is to create a CRM for your patients. A CRM (customer relationship management) can be as simple as a Google spreadsheet, that you track how referrals and then patients move through your office. You have dates that you received the referral, set an appointment, did the patient show up, etc… to follow up care. This can feel like a big ask to ask people to do, but this WILL make sure referrals don’t fall through the cracks. This will answer the question, “What happened to that patient that canceled, did they reschedule?” One of the best takeaways from a recent BackTable Vascular and Interventional was when Teri Yates said, “Everyone needs a number.” A CRM gives your staff proof of what they did that day. This is an easy way to celebrate wins everyday. If you start on day 1 with something like this, it is easy to get buy in.
