Struggling to get buy in for supplier qualification from the procurement team? Are they spot-buying from unqualified suppliers? Are they cutting POs to not-so-great manufacturers? It’s frustrating, sure. But fixable. If we need improved buy in from procurement, we need to focus on 3 things: -realistic requirements -provisional approvals -speed to disposition What are “must haves” prior to spending our first dollar with a new supplier? -quality agreement? -copies of certifications? -completed audit or supplier questionnaire? Are we comfortable with the risk of a provisional approval? -how long has this company been in business? -any regulatory action or recalls in the last 5 years? -can we set a size/unit limit to the first PO with favorable payment terms to allow for full product/material testing prior to releasing full payment? How long does it take to actually qualify a supplier from A to Z? -what’s the average TAT from “please begin qualifying this supplier” to “supplier is/isn’t qualified”? -what are immediate triggers for disqualification? No quality team? Some type of misrepresentation? Filthy site condition? Let procurement know. -can we build a rapid supplier qualification process in addition to our regular process (the answer is yes, btw)? How much time does that save us? 𝐎𝐧𝐜𝐞 𝐮𝐩𝐨𝐧 𝐚 𝐭𝐢𝐦𝐞... A young #Purchaser was handed over the legendary "𝑈𝑙𝑡𝑖𝑚𝑎𝑡𝑒 𝑆𝑝𝑒𝑐𝑖𝑓𝑖𝑐𝑎𝑡𝑖𝑜𝑛𝑠 𝑉𝑒𝑟𝑠𝑖𝑜𝑛 𝐹𝑖𝑛𝑎𝑙.3-𝑏" by his favorite stakeholder. The document was shiny, easy to read and to understand, well structured, and most important: it gathered all the requirements of whoever in the company had a thing to say on what had to be bought 🤗 It even included the mysterious pre-requisite from Quality Dpt., drafted so long ago that no one really knew its purpose, and even less how to comply with it... 𝐓𝐡𝐞 𝐲𝐨𝐮𝐧𝐠 𝐏𝐮𝐫𝐜𝐡𝐚𝐬𝐞𝐫 𝐡𝐚𝐝 𝐞𝐯𝐞𝐫𝐲𝐭𝐡𝐢𝐧𝐠 𝐢𝐧 𝐡𝐚𝐧𝐝 𝐭𝐨 𝐦𝐚𝐤𝐞 𝐭𝐡𝐞 𝐭𝐞𝐧𝐝𝐞𝐫 𝐡𝐢𝐬 𝐦𝐚𝐬𝐭𝐞𝐫𝐩𝐢𝐞𝐜𝐞 🤩 And so was it: #suppliers rushed to provide their best offer, eagerly optimizing their prices to get the honor of working with a company capable of expressing their needs so clearly. The sourcing committee celebrated the choice of the selected supplier in a joyful party, all congratulating the young Purchaser for his achievement 🏅 𝐀𝐧𝐝 𝐭𝐡𝐞𝐧 𝐜𝐚𝐦𝐞 𝐭𝐡𝐞 𝐟𝐢𝐫𝐬𝐭 𝐝𝐞𝐥𝐢𝐯𝐞𝐫𝐲... Although the products complied fully to the specs, something was wrong 🫤 It seems that all spent so much time writing down their needs, they forgot to project themselves using it. It ended up with a product no one could use 😭 𝐖𝐡𝐚𝐭 𝐬𝐡𝐚𝐥𝐥 𝐰𝐞 𝐥𝐞𝐚𝐫𝐧 𝐟𝐫𝐨𝐦 𝐭𝐡𝐢𝐬 𝐬𝐭𝐨𝐫𝐲? Don't spend too much time theoretizing your need: go out there and try 🤠 And Purchasers should stay focused on what they do best: 𝒏𝒆𝒈𝒐𝒕𝒊𝒂𝒕𝒆 𝒓𝒆𝒃𝒂𝒕𝒆𝒔 💰 Don't get carried away by nice docs that make you feel secure. #procurementmemes

What is the #1 cause of quality escapes & costly mistakes at a contract manufacturer? 𝙇𝙖𝙘𝙠 𝙤𝙛 𝙖𝙙𝙝𝙚𝙧𝙖𝙣𝙘𝙚 𝙩𝙤 𝙖 𝙙𝙞𝙨𝙘𝙞𝙥𝙡𝙞𝙣𝙚𝙙 𝙘𝙤𝙢𝙢𝙚𝙧𝙘𝙞𝙖𝙡𝙞𝙯𝙖𝙩𝙞𝙤𝙣 𝙥𝙧𝙤𝙘𝙚𝙨𝙨 & 𝙩𝙞𝙢𝙚𝙡𝙞𝙣𝙚. What happens? The brand owner needs inventory now. The manufacturer agrees to accelerate the process. Details get overlooked on both sides when locking in the process & specifications. Procurement rushes sourcing, at the expense of proper supplier verification. The list goes on. A thorough commercialization process should run between 3 to 6 months. An established product that is launching in a new facility will be on the lower end of the timeframe. This assumes no changes to the formula or supply chain. It is a true "lift & shift" into the manufacturer. A new product, or one being scaled up to a higher production volume, will be closer to 6 months. This is especially true if it is full turnkey, or if there are processing changes, or any changes to the supply chain. Don't get me wrong, we have rushed this many times before at Circle Beverage to take care of our customers. This is also when we've made the most frequent and costly mistakes.
