Last week I spoke with 20+ business owners looking to add AI and Automation to their business. Here are common problems they faced and how to solve them: Problem 1: Integration with existing systems. Solution: Leverage workflow automation tools like Zapier or Make to integrate with the existing system. If necessary, consider building a custom API module to achieve the desired results. ———— Problem 2: Lack of business documentation to train AI. Solution: Create a knowledge base by documenting business information in a Google document. Continuously update the knowledge base based on customer queries and updates. You will build a solid knowledge base in no time. ———— Problem 3: Desire for automation to handle follow-ups and meeting bookings. Solutions: Capture phone numbers. Develop an SMS or WhatsApp outreach bot. Enable the bot to perform multiple follow-ups, ask pre-qualifying questions, and schedule calls automatically. ———— Problem 4: Lack of clarity on what to automate. Solutions: Seek feedback from employees on tasks that are time-wasting. Identify repetitive manual work performed daily. Analyse the data. Begin with the most time-consuming task. Repeat this exercise bi-monthly. ———— Problem 5: Uncertainty in ROI for Investments Solutions: Start small and choose one task. Monitor the results. Did you know that you can build reports in ChatSpot.AI (beta) through pre-made reporting templates as well as with standard prompts? Did you also know that these reports don’t impact your HubSpot portal? In the 1-minute clip below from Remotish's #INBOUND23 Insights live stream (link to the full replay in the comments) I share one of my takeaways from the “Meet ChatSpot: Your AI-Powered Sales & Marketing Assistant” session with Jennifer Stone and Dylan Sellberg. Why do I think this is such a cool development? As a HubSpot Strategist, I’ve been in my fair share of portals where I see reports that were created, never updated, and never put on a dashboard. They were likely used once to gain insights for reference and then not used again. Having a few of these types of reports isn’t terrible but if this becomes a go-to process for your company, that report clutter is a pain when looking for the one you actually need and it will push you closer to your reporting limit. By running certain reports in ChatSpot.AI instead, you’ll be able to: - Get the information or insights you need from the report - Save time creating the report - Be able to create more reports more quickly which you may not have done previously by hand - Avoid cluttering your portal with one-off reports When should you consider using ChatSpot.AI for building a report rather than building it directly in your HubSpot portal? - If the report you’re building is of a one-off nature: you need to get the information or insights from the report now to make a business decision but likely won’t reference it again - If it wouldn’t be put on a dashboard or doesn't need to be regularly shared/presented to others - If it doesn’t need to be saved to your portal (keeping in mind that you can always rerun the prompt to get the report again) I cover a bit more in the clip below but this has been a fun use case for me as we continue moving from the information age to the intelligence age. My favorite software tools I used in 2023.. Notion - Nothing makes me happier than a well organized Notion Dashboard with rollups and relations. Love using to organize and archive Production Runs. Utilize - One of my favorite finds . You can make any type of app you want. Merchandising, Field Marketing, Warehouse management, Sales CRM. You name it. It synchs right with Google sheets and is amazing! NotionApps- Still playing around with this one, but super bullish on this. Taking the mobile pain out of Notion. You can make simple mobile apps out of notion databases. On my 2024 to do list - to fully get this as a part of my daily use. Pantry AI- One of the best built and simple to use Inventory management and forecasting tools I've seen. They use AI to build forecast models and requires very little onboarding. A must check out and a big upgrade from excel and sheets. Google Sheets- I mean Keep It Simple Success (K.I.S.S) i've been an excel nerd forever and will never not have a million sheets. I'm a firm believer you can run an entire business on excel and sheets until probably at least 50-60million. ChatGPT- Who didn't use ChatGpt this year- but we're just at the surface of what we can do. A little scary actually when you think about it.. Zapier integrated with Slack - Makes communication shortcuts a breeze Promomash- For organizing field marketing reps on the financial side. Something that I even preferred to my handy excel sheets!
