There are many posts on Linkedin these days reminding us to update policy frameworks regarding the use of generative AI, either create a new policy, or include some statements in an existing document. Expectations towards employees need to be set but whatever you do, don't just upload the new document to your policy portal and circulate the link, or just publish it on your intranet. Go the extra mile and create a one-pager explainer document that summarises the policy. The graphic is a mock-up of a one-pager we developed for a client this week - simple dos and don'ts. We create these one-pager explainers for most policies, or where there's a complex or abstract data protection topic that employees need to get the gist of without having to trawl through endless pages of bullet points. When you're doing work with the US Government, especially in National Security, you have to be able to describe if you have any conflicts of interest, namely who has invested in your company, and what your sources of revenue are. E.g. if you advise the government on acquisition, you have to declare if you sell products, and if you took money, who owns stakes in your company. In this regulatory environment, the "provenance" of any capital that investors have put into you, or tools you use, is very important,. If you don't know who owns portions of tools you use and all their LPs (you typically won't be able to), you're putting anyone who uses your tool at risk of being non-compliant, or possibly under the influence of foreign entities. On top of that, if a company raises capital, they are giving partial ownership of everything they own (and can access), that potentially creates an "organizational conflict of interest" for your data. Public companies are required to deliver value to shareholders - the only way to do that at scale to generate the return that big companies need to is with a way to extract and retain your data. Public companies can also potentially remove the founders and CEOs if they become "challenging". Imagine you had "promises" from a founder, but their board full of possibly foreign investors just removed them. When you introduce other institutions to your cap table that may have contacts and relationships that are either national security risks, or raise eyebrows, you should look twice and make sure that any tool you use isn't going to be a security risk and make your organization non-compliant (and possibly put your whole company in the crosshairs). Why use a tool that introduces more risk for your company? Don't take risks with your IP and make sure the tools you're using are firmly under the control of teams you can trust.
