48 Hours to fill a role. A couple of weeks ago, the team got a text that read something like: "Hi! Started a new job, need a document controller ASAP. Have you got anyone / can you help?" Within an hour we had began speaking with suitable candidates. 24 Hours later we had a job brief and I'd linked up an interview. 48 hours the initial text the candidate had a verbal offer and accepted. Goes to show that making meaningful connections with both candidate and client makes all the difference. Document controllers typically operate at different levels within an organization, depending on factors such as experience, responsibilities, and hierarchy. The five levels at which document controllers can be placed are as follows: ❇ 1️⃣ Entry-Level Document Controller: 🔹 Responsibilities: Typical responsibilities at this level include filing, scanning, organizing documents, and supporting document controllers at a higher level. 🔸 Skills: Ability to follow directions, pay attention to detail, be organized, and be proficient with basic office applications (such as Microsoft Office). ❇ 2️⃣ Document Controller: 🔹 Responsibilities: The duties associated with this intermediate level are more practical and include managing document repositories, guaranteeing document conformance, upholding version control, and assisting with document workflows. 🔸 Skills: Exceptional comprehension of document management systems (DMS), acquaintance with document control procedures, meticulousness, effective communication, and capacity to work with project teams. ❇ 3️⃣ Senior Document Controller: 🔹 Responsibilities: Senior document controllers oversee and coordinate document control activities across multiple projects or departments. They may develop document control procedures, provide training to staff, and ensure compliance with document management standards and regulations. 🔸 Skills: Extensive experience in document control, leadership skills, project management skills, knowledge of regulatory requirements (e.g., ISO standards), problem-solving abilities, and ability to mentor junior staff. ❇ 4️⃣ Document Control Supervisor/Team Lead: 🔹 Responsibilities: At this stage, a person's duties include overseeing a group of document controllers, allocating tasks, establishing priorities, and making sure the document control function runs well. 🔸 Skills: Leadership and management skills, ability to delegate tasks, strategic thinking, experience in performance management, and strong interpersonal skills. ❇ 5️⃣ Document Control Manager/Director: 🔹 Responsibilities: This is the highest level of document control that an organization can have. In addition to supervising the overall document control function, document control managers and directors also create plans for enhancing document management procedures, guarantee adherence to rules and industry standards, and communicate with other departments and outside parties. 🔸 Skills: Ability to drive organizational transformation, strategic planning, budgeting and resource management, effective leadership and communication, and extensive experience in document control and management. ▪ Although the precise titles and responsibilities may differ based on the company and industry, these levels offer a general framework for comprehending the hierarchy and progression within document control jobs. #documentmanagementsystem #documentcontrol #level #documentcontroller #skills #responsibilities
