Here's a step-by-step guide to help you calculate it effectively using an overhead and employment cost calculator: 1️⃣ Track Billable Hours: Start by recording the total hours worked by your technicians, including both billable and non-billable hours. Ensure you accurately calculate the billable hours, excluding time spent on administrative tasks, travel, and training. 2️⃣ Calculate Employment Costs: Determine the hourly wage and include any additional costs like overtime, benefits, insurance, and taxes. For example, if a technician's pay rate is $45/hour, add employment costs (e.g., $14.03/hour) to get the total direct employment cost per hour. Include site/industry allowances, super, insurance, payroll tax, and other employment-related expenses. 3️⃣ Account for Overhead Costs: Include all overhead costs such as vehicle expenses, tools, uniforms, and office overheads. Calculate the overhead per hour and add it to the employment costs. For instance, if the total overhead per period is $71,500, divide it by the total billable hours to find the overhead per hour. 4️⃣ Determine Total Cost Per Hour: Sum the direct employment cost per hour and the overhead per hour to find your technician's total cost per hour. 5️⃣ Calculate the Utilisation Rate: The recovery rate is the ratio of billable hours to total hours worked. You can only recover costs when your technician is working on a paying job, so you need the % of billable hours to total hours worked. Maximizing billable hours is critical as it directly impacts revenue and efficiency. By following these steps and regularly reviewing your data, you can ensure your trade business operates efficiently and profitably. ✴ Most Important Variable: Billable Hours How many hours in the day/week are your technician doing work that you can charge for? Track this percentage and focus on improving it. Accurately tracking and maximizing the time technicians spend on billable tasks is crucial, as it directly impacts the revenue generated and the overall efficiency of your business. ✳ PRO TIP: Track your Gross Profit per Hour - this is the result of getting staff efficient through good scheduling, training, correct materials, clear scope etc. If you can improve the Gross Profit per hour you will improve your whole business.
