Hitting the Ground Running in 2010- Administrative Assistant Role From Newcomer to Office Powerhouse Fresh out of the gate in my first administrative assistant role (thanks to a recommendation!), I was determined to prove myself. Technology wasn't as sophisticated back then, but I'd armed myself with Mavis Beacon typing skills (self-taught) and some Microsoft Office knowledge. Punctuality was my mantra. Respect for the role and a healthy aversion to Accra traffic meant arriving by 6:15 am at the latest. This early bird approach gave me a chance to learn the office layout and take ownership of my workspace. A well-organized environment meant minimal disruptions and a smooth start for everyone. Efficiency Through Initiative My typing speed and internet research skills came in handy. A senior manager once noted my "never say no" attitude - "I'll get back to you" meant researching and asking questions and, not admitting defeat. Early on, I recognized the power of clear communication. To streamline processes and save costs, I transitioned most communication via email. It wasn't easy, but weekly updates (informative with a touch of motivational quotes!) helped the staff buy in. Learning to Empower I am never the one to miss an opportunity, I learned how to set up and manage the office computer systems. This allowed colleagues to jump right in and avoid delays. Despite stepping outside my initial training, I embraced this role. Simple Lessons, Lasting Impact From that experience, I gleaned valuable lessons: 1. Own Your Role: Take charge and make the most of the responsibility entrusted to you. 2. Embrace Learning: There's always more to know. Challenge yourself to grow. 3. Technology as a Tool: Use it to your advantage and simplify your work. 4. Time is Precious: Punctuality shows respect and keeps things on track. 5. Be a Solution-Oriented Thinker: Look for ways to improve, not just maintain. 6. Motivate Yourself and Others: A positive attitude is contagious! This experience set the stage for a fulfilling career, all thanks to the initiative I took in the early days.

ENTRY LEVEL POSITIONS AND HOW THE JOB TITLE KEEPS YOU STAGNANT. We often don't talk enough about many entry level positions such as Administration Officer or Secretary or Personal Assistant, and how they have a way of making the employee in that role, seem less capable then what they actually are. Many of these entry level roles are tasked with administrative duties which could be used in the start of a Project and that specific person's function would be required right through the completion of said Project. Does that person's capabilities then, not exceed their function and job title? But their job title never changes even though whats required of them may have crossed over into a different job title and function, of a higher level. You can be a Secretary but in some instances you were required to be a "Project Coordinator", in essence, all the tasks required of you went beyond and above just responding to communique and general inquiries you literally problem solved and mitigated risks but your job title and role did not change. And you cannot call yourself a Project Coordinator because that is not what you were hired as. Entry level positions and their job titles mask alot of employees hired in these positions' true capabilities and expertise. Because the job title implies a basic and generic function on paper, where as the employee may have in reality, completed more complex and challenging tasks in the workplace. Do recruiters recognise this on CV or is it just one of those unfair circumstances in life, where the employee has to figure it out?

Learn and Adapt: Take the time to understand My company's policies, procedures, and the specific needs of My team. Be adaptable and willing to learn new skills. 2. Organizational Skills: Stay organized, keep detailed records, and use tools like calendars and to-do lists to manage tasks efficiently. 3. Effective Communication: Communicate clearly and professionally, both in writing and verbally. Pay attention to detail, especially in email correspondence. 4. Time Management: Prioritize tasks and manage my time effectively to meet deadlines. Don't be afraid to ask for help or delegate when needed. 5. Tech Proficiency: Familiarize yourself with common office software and tools, such as Microsoft Office, Google Workspace, and any industry-specific software. 6. Professionalism: Maintain a high level of professionalism in my interactions with colleagues, superiors, and clients. 7. Confidentiality: Respect the privacy and confidentiality of sensitive information I may have access to in my role. 8. Problem-Solving: Develop my problem-solving skills, as administrative assistants often encounter unexpected challenges. 9. Networking: Build a professional network within my organization. It can be valuable for my career development. 10. Continuous Learning: Stay open to learning and improving my skills. Consider training or courses that can enhance My capabilities. Remember that as I gain experience, I will become more proficient in My role, Learning and growth are a natural part of any career, including that of an administrative assistant.
