To pick the right supplier based on TCO, evaluate all costs, including maintenance, support, and disposal. Choose the supplier with the lowest total cost over time, not just the cheapest upfront price. Consider yourself the proprietor of a small restaurant who is in the market for a new commercial refrigerator. There are two choices available to you: Supplier A: Charges $2,000 up front for a refrigerator that comes with no warranty and scant customer service. Supplier B: Charges $2,500 up front for a comparable refrigerator, but it includes free maintenance for the first year, a 3-year warranty, and round-the-clock customer service. Although Supplier A appears to be less expensive at first, let's look at the Total Cost of Ownership (TCO) over a three-year period: Provider A: Purchase Price: $2000 $600 for maintenance and repairs (calculated using the average yearly maintenance expenditures) $400 in lost time (estimated due to possible malfunctions) during downtime Three years' worth of total ownership costs: $3,000. Provider B: Purchase Price: $2,500 $0 for upkeep and repairs (the first three are covered under warranty). $0 in downtime (very little because of proactive maintenance and dependable assistance) Three years' worth of total ownership costs: $2,500 In this case, Supplier B appears more costly at first, but after accounting for the free maintenance, dependable support, and warranty coverage, it provides a cheaper total cost of ownership (TCO) over the course of the three-year period. In light of these long-term cost reductions and peace of mind, the restaurant owner would be better off selecting Supplier B.
