One of the most underrated aspect of any project is communication ,majority of the project delays are due to miscommunication, delayed communication or non-communication. Every project plan has a section for Stakeholder Communications but in most of the cases that either stays only in document or is just used to communicate project status .Clear communication of requirements is one of the key aspect for success of any project , but that rarely happens. The theory of Coordinated Management of Meaning stands as a prominent framework within business communication, delving into the complex process of constructing meaning during communication. This theory posits that communication extends beyond mere information exchange, encompassing the collaborative development and negotiation of shared understandings. CMM underscores the significance of context in shaping meaning, recognizing that cultural conventions, social contexts, and situational factors significantly influence communication dynamics. · Adopting a gradual and continuous approach to communication is imperative, as it is an ongoing process rather than a one-time event. · Emphasize the necessity of clear communication, regardless of the scale or significance of the point or discussion at hand. · Ensure that all pertinent stakeholders are engaged in the communication or discussion to avoid repeated exchanges with different parties. · Highlight the significance of documenting discussions, commonly referred to as Minutes of Meeting (MOM), particularly in scenarios where multiple stakeholders are involved. · Encourage members to ask questions without hesitation, as addressing inquiries can enhance understanding and reduce the recurrence of redundant questions to stakeholders. · Recognize the importance of understanding the context of communication, according to the Coordinated Management of Meaning (CMM) theory, as similar concepts may hold different interpretations for various individuals. · Facilitate clarity and alignment among participants by ensuring everyone shares the same understanding, leveraging visual aids when necessary. Do you view effective communication as a superpower? You really should. Effective communication can take a derailing project, unhappy stakeholders, and irritated vendors from chaos to clarity. Here's the thing: projects are the meeting place of many people from various walks of life and experiences all getting together to accomplish something bigger than themselves. There will be stressors like deadlines, pressure, etc that will cause friction, but effective communication will douse the flames of conflict before they erupt into a fire. Effective communication focuses on ensuring that everyone is heard and seen, without bias. It highlights open and honest communication where everything is out on the table - in a constructive way - which doesn't give animosity or misunderstanding many places bunker down in. When we all come together at the table open and honestly with the intent to see one another, the focus shifts from "who" to "what" caused the issue, and the "how" to resolve it. Go into conversations with the mindset that everyone is doing the best with what they have available to them. In my nearly 10 years of managing projects, I have not once come across someone who came in with the mindset of "You know, I think I want to try to make this project fail." - we all have unique ways of doing things based upon our unique life experiences, and just because something doesn't necessarily work, or it wasn't how you would do it, it doesn't make the intent nefarious. Enter "I" Messages. Shift the focus from the person to the situation and its effect. Trying: "I understand your desire for certain features, but I'm worried including them all within the current budget and timeframe may compromise functionality. I'd like to explore alternative options that meet your needs while staying within constraints." Instead of: Branding the client as unreasonable, and deliberately trying to add features at the last minute, intentionally making more work for the team. I messages allow for constructive feedback and focus on solution finding instead of blaming. There is a reason that communication is the most wielded tool in the project manager's toolbox. Beyond the above, having regular check-ins with everyone ensures that everyone is on the same page, and can help you spot conflict or problems before they arise. 🎇 70% of projects globally fail. In any business, effective communication is the most important success factor. Never assume a message will be received and interpreted as intended. I'm working on a project with over 40 people. I just did the math, and that's 780 different communication channels. In other words, 780 different ways that project communications can be misinterpreted. Scary, I know. My tips: 1. Be as clear as possible 2. Provide regular check in opportunities (I like bi-weekly meetings) 3. Use technology tools to stay organized (I love Smartsheet and Trello) 4. Listen actively 5. Use multiple channels (I like to use written, verbal and nonverbal comms) 6. Encourage 1:1 communication 7. Be transparent and sincere
