Office Manager or Admin Assistant - Job Descriptions Are Important In my 20+ years of experience working in an office setting, I have noticed that job descriptions for both “office manager” and “admin assistant” list the same requirements and job duties, even though they are different jobs. One requires a sense of ownership over a broader set of things, while the other is smaller and more focused. When the pay scale for these positions is be comparable, this suggests that the hiring manager does not understand how different these positions are. Is this because the hiring manager is not sure what they are looking for? Are they using the titles interchangeably? These are the questions that I ask myself when I see a clear office manager job description listed as an admin assistant. You get out of the process what you put into the process. A lazy job description will attract lazy applicants. A high-quality job description will attract high-quality applicants. In my role as a member of the hiring team, I begin by asking questions about this position: What duties are they are expected to fulfill? What are the requirements vs. nice-to-haves? Then I deep-dive into other job listings that are closely related to what we are seeking, as this helps close the gap on our job description. Finally, I would have the direct manager look at the job description and perform any revisions. The job description did not go live until we had ALL questions answered regarding the position and any that the candidate may have. In my experience, this is a sure-fire way to make sure that you are not only answering any questions that the potential candidates may have, but you are attracting the RIGHT candidates for your business.
