On The Same Page These past few weeks I have been facilitating the design of a wellbeing event in Singapore. There are 3 main stakeholders who got together because of their genuine interests to help people in their wellbeing journey. It always amazes me how people can connect and work together for a common purpose. The process has been been interesting and here are some lessons that I realize: 1) Event Goal Though heading into similar direction, each stakeholder has specific goals with different nuances. It is important to communicate and align them, without which there will likely be friction along the way unintentionally. The more stakeholders are involved, especially if from different organizations/teams, alignment must happen 1st. 2) Target Audience Coming up with general term like 'people who struggle with wellbeing' is a good start, but we need to dive deeper & ask: - What challenges do they face? - What behaviours lead them to face these challenges? - Where do they learn about these & try to find solutions? - How well are they coping? - What are their needs & how urgent? The more we understand about our audience, the simpler to design an event that resonates with them. It seems this mentality is on the rise among event attendees, too, with Eventbrite’s TRNDS 2024 report uncovering that 65% of them seek events that empower them to take control of their wellbeing, health and longevity. It’s an interesting stat that highlights the importance of event profs remaining up to date with audiences’ needs, as well as taking action to ensure the experiences we create for them resonate. Some ways to respond to this trend could include: ✅ Prioritising these elements across the event’s design – from the catering and the content programme, to the speakers and extracurricular activities. 🎨 Joining forces with brands that uphold these values to activate, or add an experiential element. #EventProfs, how is your health (body and mind) doing right now? Event planning is one of the most stressful jobs in the world. Between rising supplier costs, problem-solving, overcoming obstacles, travel, and executing on our daily work, it's no secret that the events industry often means a remarkable juggle. Balancing multiple priorities at once and task-switching constantly is normal, but taking time off becomes an afterthought. But one thing I have learned: When we are at our best, our events turn out to be substantially more successful. Our work so often acts as a reflection of our health. I definitely have not mastered it all, but here are a few ways I try to take time off my busy schedule: 👉🏾 Take intentional breaks throughout the day 👉🏾 Exercise regularly 👉🏾 Spend time with the family to unplug (as much as possible) 👉🏾 Get enough sleep 👉🏾 Maintain a well-structured to-do list to stay organized Event planning is demanding, but I know so many of us would not trade it for anything - the rewards are so gratifying. Focusing on our well-being and making time for ourselves is critical. The events space loves talking about growth and scaling (as do I), but I'd love to see us expand the dialogue on taking care of ourselves at the same time. Time after time, I see event and conference agendas that start at 8am and end at 5pm. And inevitably, the event host ends up saying, "let's start late" because there’s no one in the room. It’s time for a change. The traditional 8-to-5 schedule doesn’t align with the natural rhythms and preferences of attendees. Early mornings can be a struggle (especially traffic delays). Here are some things to consider: 1. Flexible Start Times: Consider starting at 10am. This allows attendees to arrive fresh and ready, rather than rushed and tired. 2. Interactive Breaks: Instead of long, uninterrupted sessions, incorporate interactive breaks. These can include wellness activities, networking opportunities, or quick workshops that keep the energy high. 3. Engaging Content: Prioritize engaging, high-energy sessions during peak times (late morning and early afternoon) and save more relaxed activities for early morning or late afternoon. 4. Feedback Loop: Regularly seek attendee feedback on the agenda and be willing to adjust in real-time. This shows you value their experience and are committed to continuous improvement. Events should be designed with the attendee experience in mind, let's start to rethink the attendee when planning!!
