In M&E Venue Sourcing 🏨 , content is NOT king... here's why... ✔ The hotel's response to your RFP is more important. ❌ "We have 200,000 properties on our tool", "We have 350,000 properties on our tool".... none of that matters if the hotel doesn't respond, or doesn't respond effectively. ✔ Your RFP should be sent directly to the hotel and their sales staff, not through a portal that the hotel needs to log into every morning. ❌ Adding content to a sourcing tool is hard enough through brand/chain politics, partnerships, agreements, you name it. Why then, should you have to rely on the hotel to properly train their employees, in the midst of record staff turnover, to log into numerous sourcing tool portals in order to receive a response. What are some of the key contract clauses hoteliers should look out for in their vendor contracts? Glad you asked :) Vendor relationships are a vital part of running a successful hospitality business. Some typical vendors a hospitality brand may work with include: food & beverage vendors; tech providers (booking systems, website developers); marketing/advertising agencies or content creators; interior design and construction firms; amenity suppliers (where did you think those comfy robes come from); tourism and entertainment vendors and SO many more! This means lots and lots of legal language to sift through. Without the proper legal support in place, hotel brands can end up agreeing to unfavorable terms or opening themselves up to potential disputes down the line. Here are some key clauses hoteliers should pay close attention to when negotiating vendor contracts: 1. Termination and renewal provisions: What does the agreement say about when either party can terminate and what are the procedures for renewing or extending the contract? You don’t want to be locked into an agreement you’re unhappy in or have an agreement lapse unintentionally. 2. Exclusivity clauses: Some vendor contracts may include exclusivity clauses that prevent you from working with their competitors. Carefully evaluate these clauses and the potential impact on your business operations. 3. Payment terms: Make sure your clearly define the payment schedules, any applicable/additional fees, and the processes for disputing or adjusting charges. 4. Confidentiality and data protection: If the vendor will handle sensitive guest information or proprietary data, ensure there are robust confidentiality and data protection clauses. The right legal partner can help thoroughly review these clauses and protect your hotel’s bests interests.
