If you know me, you know I love bringing people together at events for Cvent. What you may not know, is that I started my career at a small, regionally owned and operated trash company, and—true story—attending and managing our trade shows and other local community events was part of my job. Pop-up stand, cards in a bowl, collateral, the whole OG package. I’ve always seen the value in trade shows, but there really is an art to ensuring the investment pays off. Which is why I’m so glad I got to sit down with my colleague, Product Marketing Strategist Sohil Adyanthaya, to get his expert insights around making the most of every trade show experience. In this episode, Sohil lays out the specific preparation, tools, and communication essential for success at these shows. It was a fantastic conversation, and I can’t wait to share it with you. Planning a 500+ person event? Making mid-large #events stress-free for attendees is no mean feat. We're big fans of these 5 ways to make large events simpler by Julius Solaris 👇 💡 Create templated experiences. Create standard #experiences attendees can follow. A beginner and expert track with key sessions, activations, and parties. 💡 Host a 1st timer party. Where everyone can attend, but first-timers are the stars. A great way to create community from the get-go. 💡 Signify event status Newbie or expert, you could have a different lanyard or badge. This will help quickly identify who is who and tailor conversations. 💡 Host Micro Events If your event caters to marketers, executives, and suppliers, create #microevents. Think of them as the evolution of conference tracks but packed with parties and activations. 💡 What’s Next and Notifications Use your #eventapp wisely to send notifications about sessions and moments that matter. Sponsored notifications suck from a user perspective. What would make the attendee experience rock for you? #eventstrategy #attendee #experience #engagement #eventsthatmatter

Quick soapbox moment: Having a zillion event attendees doesn’t matter. Having the *right* attendees does. Take our webinars here at Planwell. We’d rather host five event marketers who’ll feel more equipped to excel at their jobs after said webinar than see 200 people register who won’t relate to the topics we cover. Your job as an event marketer is to help your customer-facing teams build connections with the right buyers and grow your company’s revenue. To do that, you need the right buyers at your events; not just anyone who you could convince to show up. In short, resist the urge to chase quantity over quality of event attendees. Spend more time thinking about how you can reach the perfect target audience and less time chasing vanity registration numbers. #eventmarketing #eventplanning

President at Blue Atlas Marketing | Helping you get more from trade shows | Guiding B2B companies to increased sales and achieving business goals
Engaging attendees effectively during trade shows can be challenging, especially when you're competing against numerous exhibitors for attention. Attendees have limited time and may only interact with your booth briefly if at all. Fragmented Information: Potential leads often receive bits and pieces of information from various sources at the event, which can lead to confusion and a lack of coherent understanding of what your company offers. Without a dedicated platform to captivate and educate attendees, interactions at your booth might be too brief to make a lasting impression. This fleeting engagement often leads to forgotten conversations and lost lead potential. Inconsistent Follow-Up: After the show, if attendees can't recall the details of their visit to your booth or find additional information easily, they're less likely to reconnect. Traditional follow-up methods like emails and calls can feel intrusive or irrelevant if the initial connection wasn't strong. Solution: Implement a mini-site specifically for your trade show presence. This dedicated digital hub can: Centralize Information: Provide all relevant event details, product information, and schedules in one easy-to-access place, ensuring that attendees have a clear and comprehensive understanding of your offerings. Enhance Engagement: Use interactive elements like live polls, Q&A sessions, and virtual tours to keep visitors engaged before, during, and after the show, making the most of their limited time. Facilitate Follow-Up: Integrate lead capture forms and follow-up tools directly into the mini-site, making it easy for visitors to leave their details and for you to continue the conversation post-event in a coherent and contextually relevant manner. By using a mini-site, you ensure continuous engagement with your audience, turning brief encounters at your booth into lasting connections and enhancing the overall impact of your trade show presence. #TradeShowSuccess #DigitalEngagement #EventMarketing #BlueAtlasMarketing
