Position Title: Warehouse and Inventory Control Specialist

Reports to: Director of Finance

Service Area: Santa Fe, NM

Employment Term: Full-Time; 12 months

Salary/Wage Range: Depends on qualifications and experience

Summary

The primary function of this position is to create and maintain an efficient system of procuring supplies and materials that support all functions of The New Mexico School for the Deaf. This positions shall coordinate the activities involved with procuring goods and services such as materials, equipment, and supplies, etc. May provide assistance in other areas as needed by performing other duties as assigned by supervisor. It is expected that all functions of this position will be performed in a positive and receptive manner, while helping to advance the mission and vision of The New Mexico School for the Deaf.

Essential Duties and Responsibilities: (Other duties may be assigned)

  • Develop and oversee an inventory system for the Central Supply warehouse to include Dining Hall dry goods that includes ordering supplies, maintaining adequate amount of inventory, as well as receiving internal requests for supplies and delivery of supplies throughout campus.
  • Develop and oversee an inventory system for the Maintenance Department that includes inventory of tools, and supplies used by the Maintenance Department including ordering supplies, and maintaining adequate amount of inventory.
  • Coordinate the pick-up and delivery of commodities from Santa Fe Indian School, to include itemized list of items to be picked up, reconciliation of items received, and delivery of items to Dining Hall.
  • Implement a school wide approach to receiving items on campus from external vendors; including receiving all physical items, verification of quantity received, reconciliation to purchase order, delivery of items to NMSD departments.
  • Prepares Invoice packet for processing by Accounts Payable to include receiving vendor invoices, reviewing invoices for accuracy, reconciling invoices to packing slips and/or other receiving documentation, working with vendors to rectify any discrepancies or damaged items, and submitting invoice packet to Accounts Payable.
  • Responsible for proper inventory and organization of all NMSD supplies, and materials within the Central Supply Warehouse and the Maintenance Department.
  • Put up signage for all NMSD events.
  • Maintain water dispensers throughout campus, to include ordering supplies, delivery of water bottles when needed, and ensuring water dispensers are clean and working efficiently. Responsible for identifying problems, and fixing problems with water dispensers.
  • Informs other staff and/or outside parties regarding procedural requirements for the purpose of processing transactions related to procuring supplies from the Warehouse and Maintenance Supplies.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and /or Experiences: At least five (5) years of experience or related experience.

Language Skills: Ability to present to an audience. Superior reading and writing skills are required for extensive documentation related to home visits and supervisory activities. State and federal reports are integral to this position.

Sign Language: Fluent receptive and expressive American Sign Language and written English skills. (Fluency in Spanish is desirable).

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Computer Skills: To perform this job successfully, an individual should have working knowledge of Microsoft Windows, Excel, as well as various software packages including Microsoft Office.

Reasoning Ability: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to think independently, problem solve and work with the whole team. Ability and commitment to represent the Vision, Mission and Beliefs of NMSD as both a school and an agency.
