Job Description:
As a Virtual Scheduling Assistant at LoneStar Voyages, you will be an essential part of our team, responsible for managing appointments and schedules remotely. Working from your own location, you will efficiently coordinate appointments, meetings, and travel arrangements for our clients and team members to ensure smooth operations and exceptional service delivery.
Responsibilities:
Appointment Scheduling: Coordinate and schedule appointments for clients to meet with travel advisors, ensuring optimal utilization of time slots and minimizing scheduling conflicts
Calendar Management: Maintain and update appointment calendars for travel advisors, executives, and other team members, ensuring accuracy and accessibility
Client Communication: Communicate with clients via email, phone, or other channels to confirm appointments, provide necessary information, and address scheduling inquiries
Meeting Coordination: Arrange and coordinate virtual meetings, video conferences, and teleconferences, including sending meeting invitations, managing RSVPs, and setting up meeting platforms
Travel Arrangements: Assist with booking travel arrangements for team members and clients, including flights, accommodations, and transportation, as needed
Follow-up: Conduct follow-up calls or emails to confirm appointments, remind clients of upcoming meetings, and gather feedback to improve scheduling processes
Database Management: Maintain accurate records of appointments, client information, and scheduling preferences in the company database or CRM system
Administrative Support: Provide general administrative support to the team, including data entry, document preparation, and organizing files, to ensure efficient workflow
Qualifications:
High school diploma or equivalent; additional education or training in office administration or scheduling is a plus
Proven experience in appointment scheduling, calendar management, or administrative support, preferably in a remote work environment
Excellent communication skills, both verbal and written, with a professional and courteous demeanor
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively
Proficiency in using scheduling software, calendar applications, and other productivity tools
Ability to work independently with minimal supervision, while also collaborating effectively within a virtual team environment
Adaptability and flexibility to handle changing priorities and deadlines in a fast-paced work environment
