Job Description:

As a Virtual Appointment Setter/Scheduler at LoneStar Voyages, you will play a vital role in our operations by effectively managing appointments and schedules to optimize client engagement and ensure smooth workflow within the agency. You will be responsible for coordinating appointments between clients and travel advisors, maintaining accurate records, and providing excellent customer service.

Responsibilities:

  • Appointment Scheduling: Manage and schedule appointments for clients to meet with travel advisors
  • Client Communication: Communicate with clients via phone, email, or other communication channels to confirm appointments and provide necessary information
  • Calendar Management: Maintain and update the appointment calendar to ensure accurate scheduling and avoid conflicts
  • Follow-up: Conduct follow-up calls or emails to confirm appointments and remind clients of upcoming meetings
  • Database Management: Maintain client databases and ensure that all client information is accurate and up to date
  • Administrative Support: Provide administrative support to the travel advisors as needed, including preparing documents and organizing files
  • Customer Service: Deliver exceptional customer service by addressing client inquiries, resolving scheduling conflicts, and ensuring client satisfaction throughout the appointment process
  • Performance Tracking: Track appointment metrics and provide regular reports on scheduling activities and performance

Qualifications:

  • High school diploma or equivalent; additional certification or training in administrative support is a plus
  • Proven experience in appointment setting, scheduling, or related administrative roles
  • Excellent communication skills, both verbal and written
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Proficiency in using scheduling software and Microsoft Office Suite
  • Attention to detail and accuracy in maintaining records and scheduling information
  • Ability to work independently as well as part of a team
  • Customer-centric attitude with a focus on delivering exceptional service
