Variety Entertainment Specialist

JOB SUMMARY: Assist the Management team with the development and implementation of entertainment and enrichment programs both onshore and onboard. Supervise guest entertainment and presenters on Norwegian, Oceania, and Regent Seven Seas ships to maintain product consistency and high guest satisfaction. Coordinate daily operations of the shore-side Entertainment office.


DUTIES & RESPONSIBILITIES:

  • Support day-to-day operations of Variety Entertainment and Enrichment Programs.
  • Process contracts for 6800 guest entertainers annually, coordinating air travel, ground transfers, and hotels with Port agents.
  • Ensure receipt and organization of necessary documents (agreements, passports, visas, bios, photos, tech info, insurance verification) from agents for guest entertainers and presenters.
  • Distribute joining letters, documentation, and information to entertainers, vendors, and agents.
  • Maintain records of contracts, travel, and transfers, and reconcile agent invoices.
  • Upload and code variety entertainment invoices and maintain a monthly spreadsheet of invoices from agents.
  • Update and maintain guest entertainers'/presenters' bios, photos, and tech information in BOX for ship access.
  • Manage entertainer and presenter schedules in MAPS and submit timely updates to Fleet Personnel.
  • Book folkloric entertainment groups globally for fleet itineraries and provide necessary documentation to ship personnel and agents.
  • Assist international guest entertainers with the proper documentation needed to receive their multiple entry, C1-D Visas and any other visa required.
  • Communicate with ship personnel regarding guest entertainer arrivals, changes, and cancellations, and provide overall administrative support.
  • Perform other job-related functions as assigned.


QUALIFICATIONS


DEGREE TYPE: Associate's Degree


FIELD(S) OF STUDY: Business, Entertainment, Travel


EXPERIENCE:

  • Minimum of 2-3 years in an administrative role supporting a team of management and staff members. Experience in cruise industry and/or Entertainment background preferred.
  • Experience in cruise industry and Entertainment background a plus.


COMPETENCIES/SKILLS:

  • Must possess a high degree of organizational skills and be capable of performing multiple tasks in a fast-paced environment.
  • Must be able to handle and maintain confidential information.
  • Attention to detail. Creative ability is essential.
  • Must have excellent oral and written communication skills to effectively communicate with internal and external contacts. Fluency in other languages a plus.
  • Ability to solve problems quickly while maintaining customer focus. Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) is required. Knowledge of Microsoft Access is a plus. Must have the ability to work well in a fast paced, deadline driven environment.
