Job Description Summary

The Academic Program Coordinator provides support for faculty and staff associated with the PharmD academic program in the College of Pharmacy. Performs day to day processes and assists in procedures to ensure the successful delivery of the PharmD program each semester such as: course activation, degree audits, class scheduling, academic activities, and communication. The incumbent is expected to perform functions independently with minimal supervision. The incumbent must be able to apply discretion in their work and should be familiar with student privacy and protections laws. This position reports to the Assistant Dean for Curriculum.

Job Description

35% Facilitates all aspects of ensuring that students meet the requirement for APhA immunization, diabetes, and smoking cessation certification for Intro to Community Pharmacy (Fall) and Applied Community Pharmacy (Spring). Solicits and identifies evaluators to participate in OSCE and OSLE for labs and other courses that use these types of assessment. Coordinates schedules for students, evaluators, and faculty to complete both a practice session and a graded session. Compiles cases and disseminates all necessary documents to participants. Checks in participants, distributes cases, directs participants to appropriate room, times session (encounter). At the conclusion of OSCE's and OSLE's collects and stores all required documentation. Manages the use of AV equipment in the CCET for simulation activities and meets with students when they request to review their recorded performance.

25% Prior to each academic term for both core and elective courses facilitate new course activations, modifications, and deletions in student information systems (SIS). Responsible for working with Assistant Dean for Curriculum and Faculty in the college to identify elective courses offered each academic term. Coordinate with University IP office to obtain their list of electives to be offered for each term. Disseminate elective enrollment to faculty. Ensures P3 students are on track to complete their 8 hours of elective courses prior to the Spring term. Ensures all P4 students have completed all requirements of the program prior to graduation. Coordinates the pre-MPJE vouchers and testing. Works closely with faculty and the university to develop and distribute class schedules and reserve classrooms. Create non-official test schedule for the semester and work with faculty to make changes if needed. Create final exam schedule that includes dates for make-up exams. Develop an exam proctoring schedule for each academic term by identifying students with accommodations, dates of exams, proctoring room locations and staff available to assist with proctoring. Works with the curriculum team to develop contingency plans for virtual learning in emergency situations (severe weather, pandemic, etc.)

15% Schedules student presentations for the Grand Rounds course, collects and verifies student topics, solicits, and schedules evaluators.

10% Special projects as assigned by the Assistant Dean of Curriculum

5% Serves on the college’s Curriculum Committee. Minutes taken and posted for committee. Follow up on action items for curriculum committee meetings. Organize course review process working with chair and co-chair of the curriculum committee. Update database on elective offerings for curriculum committee review.

5% Ensure faculty have finalized syllabi by due date for each semester and remind faculty of the due dates ahead of time. Collect listing of textbooks from course syllabi and work with librarian to update link list and post in location that current and prospective students can access (University Requirement in conjunction with COP librarian).

5% Responsible for proper activation of all courses and other curricular changes including listing all faculty so that course data is transferred properly between systems. Incumbent is expected to be knowledgeable in LMS software applications, have a thorough knowledge of data transfers and system interface to be an effective member of the curriculum team.
