An Instructional Services Coordinator for The UI Patient Access Center (UI PAC) will provide guidance and training for all department staff. This individual will identify the most effective solutions for training. The Instructional Services Coordinator will provide direct support to all positions within the UI PAC to maximize end user and organizational effectiveness. Limited training for staff outside of the department is also supported.

Position Responsibilities

  • Develop and maintain curriculum, educational resources, and proficiency assessment tools.
  • Approach core curriculum with a culture of continuous improvement, leveraging new and different ways to engage staff with the goal of keeping content fresh and accessible.
  • Provide one-on-one and/or group training for new employees; coach or retrain current PAC employees as needed or to support professional growth.
  • Ability to conduct the comprehensive new employee onboarding program by setting up new staff accounts, requesting access, creating and managing training schedules, producing onboarding materials and all other related onboarding needs.
  • Effectively communicate on the progress of onboarding for individual staff or groups to all key stakeholders.
  • Conduct and maintain supplemental coaching as needed based on monthly quality scores and upon request for refresher education.
  • Test and evaluate progress of employees to determine effectiveness and impact of training methods, materials and programs.
  • Deconstruct workflows into clear and concise training materials, learning aids and other resources to support implementation and post-training reinforcement.
  • Conduct training analysis by evaluating employee progress and trends to determine effectiveness and impact of training methods, materials and programs.
  • Provide expertise when working with a diverse workforce and with learners with different educational needs.
  • Proactively adapt classroom presentations to your audience with inclusive references to workforce and workplace differences.
  • Monitor course enrollment for new staff, Town Hall events, special training sessions and track employee gaps in training over time to support course make-up opportunities and prepare reports on this information for department leaders.
  • Develop and maintain a working understanding of Epic scheduling and registration workflows necessary to support outpatient clinic business and the ability to design training curriculum to support these workflows.
  • Acquire and maintain a working understanding of other Epic workflows such as Referral management, follow up appointment scheduling, radiology scheduling, and MyChart functionality.
  • Foster a basic understanding of UI Patient Access Center policies, guidelines and practices.
  • Design and produce learning materials in a variety of formats including print, graphics, audio, video, and multimedia.
  • Ability to support learning across multiple platforms including remote, in-person, and hybrid learning.
  • Deliver the Leadership Development Series with an emphasis on fostering individual, professional growth.
  • Maintain strong, effective working relationships with directors, managers, staff, students and the staff and faculty across the larger organization.
  • Ensure all content contains subtitles or other means of accessibility.
  • Treat all patient and staff information as confidential and maintain course materials free of PHI.
  • Develop new and innovative curriculum which expands staff member comprehension of core business.
  • May complete other duties as assigned.


Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience in a training/educational role.
  • One (1) or more years’ experience working in a health care setting.
  • Experience developing curriculum and educational resources.
  • Experience providing training in large and small group settings.
  • Working knowledge of computer software applications such as the Microsoft Office suite of programs.
  • Ability to learn and apply new software systems knowledge quickly.
  • Strong analytical skills to identify opportunities for operational improvement and training potential.
  • Must be self-directed; having the ability to work effectively in complex situations with minimal supervision.
  • Strong organizational skills.
  • Outstanding verbal and written communication skills and the ability to share appropriate information and feedback in a professional, respectful and sensitive manner with all levels of personnel.


Desired Qualifications

  • Basic knowledge of University of Iowa Health Care policies, procedures and regulations.
  • Experience (1 year or more) evaluating instructional effectiveness.
  • Proficiency in or experience with the Captivate software.
