Team Lead- Special Education Administrative Assistants
Position Summary
Working from our one of our Family Service Centers, the Team Lead- Special Education Administrative Assistants is responsible for the supervision of all Special Education AA’s. The Team Lead would monitor performance and complete all evaluations of AA’s within the Special Education Department. The team of Special Education AA’s complete tasks to fulfill the special education process timelines under Federal and State (Chapter 14, Chapter 711) Regulations.
This includes daily compliance tasks in support of learners receiving special education services from the special education department such as responding to state special education process timelines to include: scheduling special education meetings (IEP, evaluations, and Related Services), creating invitation to participate documents, coordinating Related Services and evaluations, collaborating with special education staff regarding the special education process for learners, answering phones and email, filing special education documents, auditing files, and ensuring learners' special education documents are obtained from the prior Learning Education Agency and other duties as assigned by special education administration.
This position reports directly to the Director of Special Education Operations.
Responsibilities
Learning and applying special education procedures under IDEA, Chapter 711 and local CCA procedures.
Producing reports from online special education and departmental software to support and maintain compliance with timelines.
Coordinate and facilitate weekly meetings between teams to align timelines between evaluations and IEP meetings.
Monitor and maintenance of internal processes and systems for compliance of evaluations, IEP meetings, and related services.
Ensure scheduling of IEP meetings with identified IEP schedulers with the appropriate team members.
Collaborate with operations and instructional teams to schedule IEP meetings for newly enrolled learners within internal timelines.
Supervise and guide all department AA’s by completion of yearly evaluations and bi-weekly time approval.
Monitor workload by checking compliance and efficiency of each team member
Provide individual training to newly hired team members on process and job operations
Systematic review of processes and operations for enhancement and improvement.

Requirements
Bachelor’s Degree
Excellent communication skills, both oral and written.
Customer focused approach.
High degree of flexibility.
Demonstrated ability to work well in fast-paced environment.
Technologically proficient (especially with Microsoft Office products).
Occasional travel.
Experience in Special Education
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role. Requires the ability to lift, squat, sit, bend or stand as necessary.? Ability to travel to other sites/locations as needed.
